Operations Head - Warehousing & Logistics
Purpose :
- To manage company's Supply Chain Operations.
- To frame & implement the strategy for growth of the Company.
- To support new business opportunities and to ensure that team is capable of growing in scale and complexity to meet our customer's requirements.
- To ensure compliance with legal requirements for its operations.
Key Tasks, Accountabilities and Responsibilities :
- Retaining and growing current business
- Ensuring the safety, culture, welfare, recruitment, succession of employees
- Conduct KPI & SLA Review with customers
- Meet & exceed profit targets
- Manage and deliver customer focused service & higher customer satisfaction ratings
- Driving and improving performance of operation
- Establish internal controls to build a efficient Organization
Customer
- Develop and maintain strong partnerships and relations with customers
- Meet with customers frequently to understand customer expectations and fulfil their requirements
- Manage customer relationship to achieve high customer satisfaction
- Present and sell proposal/ idea to convince customers
- Investigate and review key customers supply chain needs and identify where company can best apply value
- Create cost and operations simulation models for major new business opportunities
- Manage the budget and be responsible for customer accounts
- Management of debt control
- Liaise at the appropriate level to ensure customer retention, development and growth of new business
- Establish and implement a logistics business vision that directly impacts the strategies and business results
- Support with strategic business activities, development of business plans and strategies for company and the implementation of these plans
Stakeholder
- Work with Business Development to support the achievement of growth targets
- Maintain links with the industry and appraise potential acquisition targets
- Establish relationships with key decision makers and influencers in target accounts
- Collaborate with the other functions and business's eg HR, IT, Finance, Marketing to achieve common outcomes
- Handle high-level managerial responsibilities for the sectors, including: conferring with and representing the sectors in country management meetings, regional offices, various government agencies, and the public
- Manage multiple vendors to ensure we are maximizing on cost and performance.
- Maintain long-term and stable relationships with vendors.
- Undertake Quarterly Business Reviews with key suppliers using a scorecard to provide feedback and track progress
Process
- Oversee all customer accounts to ensure that his/her management teams provide smooth logistics operations and stay within the budget
- Ensure that there are means for monitoring and evaluating operations and cost effectiveness
- Produce a management structure for the respective sites which clearly outlines responsibilities and accountabilities
- Develop and direct the implementation of goals, objectives, policies, procedures, and work standards
- Contribute to the overall quality of the service by developing, reviewing, and implementing policies and procedures to meet quality requirements, customer needs and the company mission
- Review and evaluate program and service deliveries
- Oversee preparation of periodic and managerial reports
- Responsible for the management of the entire operation of all customer account
Financial
- Manage the budget of the business and responsible for the delivery of the P&L
- Create a P&L for operations and develop a robust budgeting process
- Drive continuous GP improvement and meet profit target
- Administer and monitor budgets and expenditures, including staffing and operational needs
- Ensure regular, timely and accurate reporting of service, cost and quality KPI
- Ensure operating teams meet contractual commitments for service, cost and reporting
- Ensure the site meets its productivity and quality targets within open and closed book environments
Management
- Make directional and high-level managerial decisions and recommendations in order to achieve business and financial results
- Review operational issues and develop solutions to enhance operations
- Take critical decisions and makes recommendations in order to achieve operational and cost effective results
- Manage the service, quality and cost performance of key suppliers of transport services through a comprehensive carrier management programme
- Ensure effective use of resources within approved budget
- Prioritizes and allocates available resources
- Ensure oversight of necessary corrective and preventive action decks
- Make recommendations for improvements and ensures maximum effective service delivery
- Lead continuous improvement initiatives that result in cost savings and/or an increase in customer satisfaction
- Standardise KPI reporting across operations
- Identify where the services to customers should be improved, then develop and implement initiatives and processes for warehouse management
- Promote and enforce compliance with prevailing legal and statutory requirements
- Maintenance of operating licence
Project Management
- Provide leadership support to his/her management teams
- Promote core values and act as a role model to his/her management team and wider group
- Develop IKOs/KPIs with team members and monitor individual performance and provide constructive feedback
- Responsible for developing staff in all warehouse operations to be competent
- Identification of development and training needs in order to maximize individual/team contribution
- Develop robust resourcing/ sucession planning
- Provide coaching and development of all staff within the department to facilitate personal growth
- To support the cultural developments for the site, engaging the teams and fostering an environment of trust and respect at all levels
- Ensure safe working practices are followed
- Participate in safety committees and allows and supports staff to participate in safety committees as required
- Ensure that the employees comply with the rules, regulations, instructions, orders or measures relating to work safety
- Conduct Hazard Analysis with Safety Committees and train the employees in potentially hazardous work practices
- Comply with company OHS policy and procedures
- Ensure the conduct of annual drills of emergency and evacuation as required by the law or company policy
- Responsible for all issues relating to Health & Safety and the Environment
Functional Experience
- Minimum 08 years experience preferably in the Supply Chain Industry and/or with MNCs.
