Description :
- The role involves management responsibility for the Regional Transfer Agency team focused on the production of accurate and timely contract notes, payments, statements and investor reporting for various clients with a significant focus on project management and execution against tight deadlines.
- The Transfer Agency Department is primarily responsible for the accurate capture and reporting of investor dealing in funds for which our client has been appointed Transfer Agent.
- As part of this function and to ensure the accuracy and correctness of reporting the team is required to reconcile cash movements, adhere to AML/KYC polices and ensure that polices that govern manually initiated payments are adhered to.
- In addition the Transfer Agency team must ensure that all investor dealing is processed in a manner that is in keeping with the terms of the funds Trust deed, Transfer Agency Services agreement and operating memorandum.
- This senior position is in the Transfer Agency area of the Fund Administration department and represents a fantastic opportunity for an individual with experience in the funds industry that is looking for an opportunity to advance in a fast growing dynamic organization.
Key Responsibilities include :
- Ensuring that transactions are accurately captured and recorded on the Transfer Agency system and onward reporting.
- To ensure that all reporting is produced in accordance with department standards and controls and that exceptions, where noted are resolved in a timely manner and that items cleared are treated correctly.
- To liaise with other areas within the bank in order to clear reconciliation exceptions in a timely manner
- To identify and correct potential errors or misstatements in contract notes, estimated dealing summaries and investor reporting.
- Analyse root-cause of recurring issues through regular review of reconciliations and analysis Key performance indicators and assist in developing programmes for service enhancements arising from this.
- Plan and organize for the delivery of unit prices, contract notes, fund manager reporting and investor reporting in accordance with agreed deadlines and with zero defects.
- Manage, coach and develop team members for their individual advancement and for the benefit of the team. In so doing, foster and maintain strong team spirit and a healthy working atmosphere
- Review existing process and procedures with a view to identifying opportunities for improvement or reengineering
- Manage client requests and ensure that such requests are dealt with in a timely manner. From time to time this will require technical specifications in the form of Business Requirements documents to be drawn up and submitted for development
- Manage User Acceptance testing as required
- Complete the annual and interim appraisal process
- Liaison with Compliance, Fund Auditors and Trustee (including drafting formal responses to on-site visits)
- Delivering presentation to existing clients on behalf of the department.
- Assist in capacity planning and resource management to support the day to day business requirements
Qualifications :
Skills and competencies :
- Graduate in Finance/accounting or equivalent
- Minimum 10 years transfer agency or funds administration experience with 4 years in a supervisory capacity
- Energetic leader who works well across multiple teams
- Proven track record in managing large teams of staff
- Demonstrated success in managing customer relations and customers
- Demonstrated success dealing with senior management
- Proven relationship management skills
- Ability to network to get the ability and willingness to reach out and learn;
- Knowledge of financial services

- In depth knowledge or Transfer Agency processing.
