Job Description:
Key Purpose of the Job: - Heading P&L of the Region, Budgeting, Costing, Cash Flow
Management, Cost Benefit Analysis, Strategic Business Planning
REPORTING TO : COO
PROFILE OF JOB HOLDER: -
- Qualification - Graduate/ Post Graduate in any discipline
- Experience - 14 - 18 years of experience of which 5-7 years in Facility Management at a Senior Role handling Multiple Sites
KEY RESPONSIBILITIES:
1. Ensuring a high Top and Bottom line / Organic Growth in Business
a. To ensure profitability of the business
i. Developing New Business Opportunities
ii. Driving and ensuring efficient functioning of invoicing and collections team
iii. Ensuring Collection targets are met within stipulated time period
iv. Inviting Business referrals from Existing Clientele
v. Reviewing & interpreting the market trends to formulate business strategies
vi. Developing Above base business
vii. Responsible for P&L of the Region
viii. Responsible for strategic planning for sustainable business growth
ix. Attainment of new business targets and attainment of existing business (retention) targets
AVP / VP - Operations COO - FS
x. Design internal controls and monitor the efficiency of various operational areas to optimize resource utilization and minimize administrative cost.
xi. Responsible for all statutory compliance, corporate governance, safety & environment management.
2. Maintaining a high Client Satisfaction Level
a. To retain and expand existing Business
i. By ensuring high Service Delivery Level
ii. Ensuring Zero, Escalations
iii. Driving Operations, Human Capital and Support Teams to ensure the delivery as per the SLA (Service Level Agreement)
iv. High degree of Client interaction
v. Reviewing & interpreting the market trends/ client feedback to attune the business strategies as per the requirements & expectations
vi. Enhancing Customer relationship through continuous process enhancements & cost effective measures
3. Team Management and development of a strong 2nd line of management
a. To ensure succession planning and business continuity plan
i. Bringing synergy in teams
ii. Strengthening of skills of team members by sending them on training periodically
iii. Conducting performance reviews of the team members
iv. Continual assessing of the team members
v. Responsible for Cross Functional Team Building, Employee development
4. Credit and invoicing Operations
a. To ensure timely collection of bills
i. By following up with central invoicing team for in time Bill generation
ii. Submitting of Bills with the Client and ensuring payment within the credit period
iii. Reduction in Debtor Days by timely submission of Invoice & ensuring Collections on time
5. Managing External stake holders
a. To get the best possible support from the vendors and government authority
i. Liasoning with Labour inspectors and statutory auditors
ii. Negotiating with vendors to get the best quality at best price
6. Innovation in Process & People Management
a. To ensure Employee Connect & Employee Retention
i. Ensuring RARE & other Employee Engagement Initiatives are implemented
ii. Cost Saving in Consumables & other Miscellaneous expenses
7. Other Responsibilities :
i. Overseeing overall policy planning under standardization of SOPs, financial planning & control, auditing, manpower auditing, police operational planning, monitoring and execution
ii. Planning & executing logistical requirement and procurement for organizational requirements, disciplinary matters, etc.
iii. Liaising with various Government statutory / regulatory authorities
iv. Managing correct implementation of policies
v. Maintaining discipline, turnout, selection & recruitment of team
vi. Establishing process performance metrics: tracking, analyzing and reporting performance in terms of quality, safety, cost and customer satisfaction.
vii. Responsible to ensure that all contracts are in place with vendors/ contractors for facility and administration functions. Reviewing the vendor performance periodically and ensure SLA, as agreed upon by the management are being met.
