Manager Service & Performance Management, Scanning & Payments – FSSC Asia
Purpose of Job:
1. Responsible for the timely and accurate performance of the full range of tasks described below:
2. To oversee the operations of the Scanning & Payment Processing Team up to 10 employees on a daily basis so the FSSC operational excellence and customer service objectives are realized within the given guidelines and policies
3. To perform advanced processing for specific payment transactions of a more complex and sensitive nature, as well as providing sign-off or approval where needed
4. To continuously seek out better ways of performing the processes and supports process improvement initiatives
5. To successfully perform other assigned Scanning & Payment functions under the direction of the head of FSSC
6. To oversee and manage intercompany transactions
7. To ensure qualification, motivation and development of her/his team members
8. To support Head of FSSC in service management related tasks (KPI measurement & reporting, service catalogue, etc.)
9. Processing of transactions in multiple currencies as well as handling high volumes environment
Main Responsibilities
- Ensure timely and accurate processing of transactions within team
- Run and analyze team performance and productivity and initiates corrective measures
- Work closely with AP team to coordinate and issue payments
- Organize payments for different countries and currencies
- Organize scanning of invoices / documents according to Clariant standards and guidelines
- Ensure through reviews / spot checks that team processing quality is maintained
- Ensure that adequate and updated process documentation and desktop procedures exists and is used
- Recognize and communicate potential issues to head of FSSC as appropriate
- Understand and apply pay processes, policies, procedures and internal control standards
- Meet all relevant SLA’s
- Handling client queries and escalations. Ensuring team responds to client queries within agreed turnaround time
- Support operational performance reporting activities
Performance Indicators
- % of on time payments; # of rush payments; amount of missed dis-counts
- Scanning productivity (document backlog)
Service Management
- Support data collection for global service and performance management team, including validation of local data
- Maintain service catalogue of FSSC Asia
- Maintain service contract with FSSC customers
- Provide cost data for service pricing for FSSC Asia customers
- Manage change control process with FSSC customers to ensure orderly tracking and billing of services to customers
Education
Minimum: Master degree in Finance / Accounting
Desirable: A Chartered Accountant or MBA
Expereince
- Essential: 5+ years in bank / cash accounting and scanning / workflow solutions
- Essential: 3+ years in supervisory function
- Essential: Profound Accounting Experience
- Essential: SAP FI accounting experience, ideally in bank accounting and payments
- Desirable: Working experience within a (captive or outsourced) shared services center
- Desirable: Experience of start ups / setting up transactional FSSCs
- Desirable: Experience in a (high volume) multi currency environment
