The office manager - India plays a pivotal role in establishing and leading a thriving vidaXL office in Hyderabad. You will oversee all aspects of the office's operations, fostering a productive and compliant work environment.

Purpose of the job:

- This role involves managing HR, Facility, operations, and day-to-day work for India office. Overseeing other teams like Marketing, Content, Project Management, Order Management, and Business Technology in a structured and mentoring way to effectively meet business requirements.

- The Location Manager governs the local facility manager and team, identifies and activates vendors, drives and oversees the local HR team, controls onsite critical/emergency situations, leads the communication of management reports and information, and leads a local team of professionals to participate in corporate-wide projects when required.

- This role is crucial in the organization as it ensures the efficient operation of the office and contributes to the overall success of the organization. This role also requires ensuring that the office is running smoothly in all shifts and employees have a safe and productive environment.

Responsibilities/core tasks:

1. Facilities & Administration Management: Govern the local facility manager and team to ensure continuous enhancement of the workplace for vidaXL employees in Hyderabad, complying with local legislation, vidaXL policy, procedures, and business demands. Oversee the local facility manager and team, ensuring a well-maintained and compliant workspace aligned with vidaXL policies, procedures, and local legislation - both hard and soft services. Identify and activate vendors to provide seamless facility support for employees and visiting guests.

2. Employee Life Cycle Management: Mentor and lead the establishment and ongoing development of the local HR team. Implement Standard Operating Procedures (SOPs) for onsite manpower planning, recruitment, onboarding, performance management, employee motivation & development, and offboarding within the Hyderabad office.

3. Vendor Management: Identify and activate vendors for smooth facility support to local team and visiting guests.

4. Operation Process Improvement: Drive continuous improvement in local operations for long-term scalability and business growth. Control onsite critical/emergency situations and resolve promptly while ensuring minimum disruption to the business. Engage and influence stakeholders, internal partners, and peers associated with the function or affected by its outcomes. Develop and communicate management reports covering facility costs, employee retention/attrition, and employee satisfaction. Lead local teams in participation in company-wide projects as needed.

5. Employee Relations: Address employee concerns and grievances, adhering to company policies and Indian labor laws. Foster a positive work environment that promotes employee engagement and well-being.

6. Reporting: Lead the communication of management reports and information such as facility cost, employee retention and attrition, employee satisfaction, etc.

7. Project Participation: Lead a local team of professionals to participate in corporate-wide projects when required.

8. Resource Allocation: Responsible for the allocation of people and financial resources for Operations and takes the financial accountability of the success of local operations.

9. Travel and Logistics: Manage travel arrangements and logistics for business visitors and potential employees coming to the Hyderabad office.

Required Skills, Knowledge, and Abilities:

1. Must have an experience of working with an international company outside India for a minimum of 2 years

2. Must have experience of managing office for a minimum of 3-5 years

3. Someone who has experience in expanding one or more locations

4. Has experience working with multiple vendors related to operations, HR, facility

5. Proven vision for successful business operations

6. Decisive, goal-oriented, and possess exemplary project management, analytical, and problem-solving skills

7. Strong leadership and organizational skills with a sense of responsibility for independent work

8. Knowledge of office management systems and procedures

9. Excellent communication skills in English

10. Ability to adapt to a fast-paced business environment

11. Thrive under pressure and maintain flexible work hours

12. Experience working with organizations at various growth stages

13. Experience/knowledge of office location compliance and effective setup of workspaces

14. 7-12 years of experience independently managing teams, with solid overall operational management abilities. This includes establishing work procedures, building a team structure from scratch, managing operational projects, monitoring, and people communication.

1. Achievement with Indian office roadmap & Quality: Able to execute the roadmap for the Indian office and the quality of the services and work delivered.

2. Manpower Management: Ability to manage and allocate manpower effectively.

4. People Development & Growth (Empowerment): Able to develop and empower their team members.

5. Satisfaction - Business Partners: Balance the satisfaction level of business partners.
