Job Summary :
- Manage a team of Document Review specialists reviewing documents for first level review (tag documents for responsive, not responsive, hot, relevant/ noteworthy), second level review, subjective Coding and Redfern requests, AV file review, Cyber Incident response, Data breach and DSAR reviews
Principle Duties & Responsibilities :
Growth:
- Enhancing the DR practice value proposition to provide an end-to-end solution to identified and new target segments and industries
- Identify gaps in the current proposition and build a plan to enhance capabilities in DR and related services like DSAR, Data Breach, Cyber Incident Response.
- Develop the DR capabilities for front end processing and project management
- Implement technology and tools to ensure agility, scalability, risk management, and reporting - through technology partnerships and internal automations
Building capabilities within the existing DR practice:
- Develop and manage defensible operational and quality workflows, controls, and procedures
- Plan and organize resources to achieve the goals and objectives of DR projects and institutionalize program management to meet the needs of evolving technology
- Increase revenue on current engagements by identifying opportunities to cross-sell services
Client Delivery :
Delivery Management:
- Develop solutions, strategies, and workflows to process data, with special considerations for the unique environment and project-specific complexities of an engagement
- Plan for projects wrt expected productivity, staffing allocation, QC plan. Daily measuring deviations and reasoning with defined action plans with COO/ Business Unit Head
- Share daily project summary and dashboards with all internal and external stake holders
- Create and run STRs, analyze, create and execute searches as part of key term searches, validations achieve high data accuracy, define the review layout and intelligent batching for work allocation
- Coordinate deliveries with the functional team to achieve agreed service level agreements with clients
- Troubleshoot document review software issues and coordinate custom development work, as necessary
- Identify and implement process improvements including automation to continuously increase operational efficiency, quality, and scalability.
- Investigate and resolve project complaints as well as facilitate solutions
- Provide periodic status updates and dashboards to external and internal customers.
- Responsible for preparation of standard documentation including review protocols, status reports, training guides and review workflows
- Project closure with consolidated feedback communicated (in written) to individual team members and all project statistics (billing details, leaves, performance) maintained and shared with internal stake holders (Ops, HR, Finance)
Client Communication:
- Lead the kick-off calls
- Daily/ weekly connect with client
- Sharing regular updates and productivity/ other reports with the client/ counsel and Client Analytics Management
Team Management and Development:
- Mentor, lead, and delegate tasks to team members to support their training and professional development with the goal of creating team environment that offers challenging opportunities and support to all employees and is poised for continued expansion and success
- Work with business to develop project-specific skill standards
- Lead the culture of service excellence including active training, leadership development, and mentoring programs; ensuring readiness of industry required trained and certified resources.
- Focus on accelerating the development of team by achieving industry standard certifications.
- Create ramp up capabilities for managing the unpredictable volumes through a network of experienced, fresh, permanent and temporary resources.
Compliance:
Ensuring compliance with all laws and regulations that apply to the business, including adherence to:
- Information security and GDPR requirements
- Federal Rule of Civil Procedures (FRCP)
- Related international laws
Qualifications / Work Experience /Skills Qualification/ Skills:
- LLB/ LLM is preferred
- Certification on Relativity (RCA or RRM)
- At least 8-10 years of Document Review experience in a law firm or ALSP, including Electronic Discovery Reference Model, (EDRM), technology, Global Legal framework, and competitive landscape.
- Minimum experience of 5 years in managing Document Review operations, with a team size of c. 100+ reviewers
- Understanding of the US and UK legal system
- Experience of setting/ scaling up a Document Review team in a fast-growing company, blending legal and regulatory contextual background, striving toward market leadership in an evolving marketplace.
- Have a successful track record of managing engagements of all sizes and durations
- Demonstrate business development acumen via networking and other business development activities, showcasing the ability to convert networking relationships to sales leads and ultimately, new revenue.
Deep understanding and working experience of :
- Review platforms (like Relativity, RelOne, iConect, DISCO, Reveal - Brainspace, SaaS based platforms, proprietary solutions) and integrated systems
- Frontend Document Review tools
- eDiscovery databases like SQL are preferred
- Proven ability to create strategies and formulate concise solutions to complex problems
- Demonstrable and documented track record of predictability, consistency, and achievement of growth parameters
- Must exhibit strong technical writing skills, maintain client confidentiality, ability to analyse information and communicate processes and excellent follow-up skills
