Job Description:

As the Disciplinary Case Coordinator, your primary responsibility is to manage and resolve disciplinary cases reported by Regional HR within stipulated timelines, ensuring fairness and adherence to principles of natural justice.

Below are the duties and responsibilities associated with this role, listed in order of importance:

Drafting Disciplinary Letters:

- Draft disciplinary letters including show cause notices, warnings, suspensions, and terminations, ensuring accuracy and timely dispatch to concerned stakeholders.

Coordination with Regional HR:

- Collaborate with Regional HR to ensure the timely closure of disciplinary cases, providing necessary support and guidance throughout the process.

Performance Improvement Plan (PIP) Cases:

- Prepare Show Cause Notices (SCN) under Performance Improvement Plans (PIP) and ensure timely closure of PIP cases, monitoring progress and compliance.

MIS and Trend Analysis:

- Create and maintain Management Information System (MIS) of disciplinary cases, and share weekly trend analysis reports to identify patterns and areas for improvement.

Data Management:

- Ensure all documents related to disciplinary cases are accurately stored in the Data Management - System (DMS) for easy retrieval and reference.

Training and Communication:

- Conduct training sessions on disciplinary awareness and create informative communications to be circulated to Regional HR teams regarding disciplinary issues and procedures.

Guidance and Query Resolution:

- Provide guidance and resolve queries from Regional/Circle HR teams on disciplinary processes and procedures, ensuring clarity and consistency in handling cases.

Submission to FMR Team:

- Submit disciplinary case details to the Financial Management and Reporting (FMR) team in a timely manner, facilitating accurate record-keeping and reporting.

Process Improvement:

- Identify opportunities for process improvement in consultation with various stakeholders, suggesting changes to enhance efficiency and effectiveness in managing disciplinary issues.
