Job description:

- Strong professional communicational skills in order to deal with clients informing them about status of their shipments.

- Responsible for timely completion of export jobs into the freight forwarding automation by managing the daily sea export in order to ensure smooth and efficient flow of operations.

- Monitoring the daily E-mails & communications with both internally & externally customers in order make sure the circle of Information is going on professionally and in a timely manner.

- Responsible for accurate billing process following the clients individual price agreements and ensuring timely and professional communication of the invoice towards the clients.

- Coordination with carriers, vendors and customers in case of any missing and/or damaged shipments and handling of claims in regards of damage and/or lost shipments.

- Interfacing with any authorities which are engaged in their daily work.

- Monitoring and developing the daily work environment/ procedures to meet the company standard and the KPI to achieve the best results.

- Resolve all customer complaints and inquiries and provide customers with the guidance required for order processing via appropriate level of communication maintained at all time.

Customer Service.

- Good knowledge of handling different type of shipments.

- Well versed with various inco-terms.

- Co-ordination with Client, Overseas Agent for pre shipment activities.

- Co-ordination with Shipping Line / Co-loader for placing booking.

- Updating client on the status of the shipment.

- Sharing all drafts with clients & seeking approval.

- Sharing pre alert with the client.

- Opening job in system and updating all the fields.

Documentation / Operation.

- SI filling as per instructions.

- Job opening in L-shipping.

- On receipt of provision income and expense from CS team, same to be incorporated in L-shipping on container stuffing day/ immediate next day without exceptions.

- To update Forecast GP.

- L-shipping entry (HBL/MBL, Billing).

- Follow up on HBL draft approval with shipper / Overseas.

- VGM filing if applicable.

- Follow up for MBL draft and invoices.

- Follow up on HBL and MBL draft approval with overseas.

- Draft invoice to be prepared and checked through reporting manager.

- Final invoice posting in L shipping within KPI.

- Final income & expense booking in L-shipping and reversing the provision.

- Diary entry.

- Incorporating MBL No / shipping line name / container no properly.

- Vendor bill timely submission Weekly Monday.

- Carrier/co-loader NEFT process submission as per SOP.

- Invoices to send to customer for payment and follow up.

- Final HBL / MBL release .

- Courier (if original docs).

- Courier details to be shared with shipper / overseas (whichever is applicable).

- Pre-Alert to be sent.

- Follow escalation matrix.

- DSR maintenance and sending to reporting managers daily.

- Docket maintenance as per process for doc activity.

- E-docs should include sales proposal +approval mail for freehand / MBL copy / commercial docs.

QUALIFICATIONS & COMPETENCIES.

- 6+years of relevant industry experience.

- Bachelor or MBA degree.

- Experience in Customer Service & Operations.

- Exports Experience is required.

- Good communication skills in English, Hindi & respective regional language, both oral and written.

- Confident, self-driven and a team player.
