Purpose:
To create and implement a structure Onboarding framework that would give the new hires a wonderful Onboarding experience. Also, to provide an effective and efficient service to HR colleagues and the business in managing the Onboarding program across India. Lead HRS Global & Local projects for simplification & achieving operational excellence.
Duties & Responsibilities:
Onboarding:
Responsible for Leading & implementing end to end Onboarding process for all employees in India, including Salesforce, HO Mumbai, Sites - HYD & Goa, External workforce, etc.
High Level Tasks:
- Ensure that the Global framework for the Onboarding is implemented & followed across India covering all the locations and sites
- Execute the Induction program for the New hires on day 1 and complete all the joining formalities
- Induct newcomers on key processes, policies and facilitating mandatory trainings as part of the induction program
- Ensure all resources are ready on day 1 for new joinees such as IT assets, Badge, Visiting cards, Desk-phone, Handset, Seating allocation and Name tag etc.
- Co-ordinate with all the hiring managers and get the pre-onboarding tasks completed as per the decided framework
- Liaise with the HRDM team for creation of employee vendor code and appointment letter for the new hires
- Quarterly execution of the detailed 2 days Onboarding program for all the new hires hired in the last months. Pre-plan and connect with all the Senior leaders to block their time for these sessions every quarter. Also, connect with multiple stakeholders like C&B, TM, L&D, Procurement, Communications and BHRs for planning the sessions for the quarterly employees
- Collecting feedback post the sessions to gauge employee experience, analyzing the inputs and sharing outcomes
- Addressing employee queries and getting it resolved in minimum time
- Ensuring that all activities of the onboarding process are completed as per the global timelines
- Co-ordinate regularly with all the Onboarding SPOCs across locations & sites to ensure that the Onboarding process is being followed as per the plan without any deviations
- Coordinate with all the stakeholders like ITS, Security, Hiring Managers, SPOCs, Facility Management, etc. for ensuring that the operational tasks are being performed as per the agreed timelines
- Consolidating the monthly Global & Local Onboarding KPIs
- Follow-up with stakeholders to ensure that the KPIs are submitted to the Onboarding team in a timely manner
- Ensure that the Global KPIs are met 100% on monthly basis and in case of any exceptions, then the necessary exception approvals are taken well in time
- Co-ordinate with the GSO for Onboarding process on regular basis, to ensure that all the new updates are available and the same should be implemented for India
- Attend all the Global meetings / forums related to the Onboarding process and represent India
- Smooth vendor management with all the Onboarding related suppliers to ensure that the deliverables from the vendors are met
HRS Projects:
- Lead & implement HR Services global or local projects
- Projects can be related to employee experience, implementation of any global technology solutions, simplifications, etc.
- Project management for the all the projects that get assigned for the year as per the plan
- Co-ordinate with the required global & local stakeholders related to the respective projects to ensure there is enough clarity and things are executed in a timely manner
- Should proactively highlight any concerns or challenges related to the projects, so that the appropriate solutions can be planned
- Effective time management would be very essential to manage project timelines to ensure 100% timeliness
HRS Governance Dashboard & Reporting:
- Prepare the monthly HRS dashboard for reporting of service performance & KPIs
- Co-ordinate with the HRS respective process owners to get their KPI slides on monthly basis
- Update the Global KPIs in Qlick Sense global tool on monthly basis for the required processes
- Prepare slide deck for any Global HRS presentations, as an when required
Knowledge, Skills & Competencies / Language:
- Should have experience in Leading & managing the end-to-end Onboarding program for a country
- Knowledge of the latest tools and techniques in the Onboarding space is a must
- Demonstrate good knowledge and understanding of key Onboarding frameworks to create a WOW experience for the new hires
- Excellent verbal and written communication skills
- Strong stakeholder management (Global & Local) skills are a must
- Proficient in MS Office (e.g. Word, Power point & Excel)
- Strong interpersonal skills
- Great team player and people manager
- Should have good project management skills
- Having experience in other areas of HR Operations, would be a value add
Qualifications:
- Graduate / Post graduate qualification in HR
- 10+ years of experience within the HR vertical including 2+ years of experience as an Onboarding Lead
- Project management experience of 2 years.
