Administrative duties :
Facility Management :
- Inspection of the entire facility to ensure hygiene and cleanliness.
- Ensuring Health & Safety standards are maintained in the organization.
- Maintenance, inspection and testing for all of the fire safety equipment and systems, keeping records and certificates of compliance.
- Maintenance of security hardware.
- Maintenance, testing and inspection to be carried out to ensure that the facility is operating safely and efficiently, to maximize the life of equipment and reduce the risk of failure.
Inventory Control :
- Ensuring that stationery or equipment's are on the shelf in just the right quantity.
- Recognizing when an employee has asked for stationery or equipment's.
- Signaling when more products need to be put on the shelf from the stockroom.
- Reordering stock at the appropriate time from the vendor.
- Monthly stock count & accountability of pantry consumables.
- Inventory control & data entry of consumable stock in pantry area (Perishable & non-perishable items)
Employee Engagement :
- Party or RNR arrangements.
- Event management for Sports and annual event.
- Arrangements for food & other utilities for the event.
- Finding the lowest & best quote & getting an approval from the management for all necessary arrangements made.
Travel Desk :
- Manage the travel arrangements, including hotels, car, air, road and rail etc. (bookings, bill checks etc.)
Hotel/Guest House Bookings :
- Apartment set up/Hotel bookings for foreign executives
- Hotel bookings for employees extending in the night during project deadlines. Only with prior approval from the management.
Employee Seating Arrangement :
- Employee seating arrangement in coordination with operations.
- Keeping track of vacant seats & assignment of new joiners.
- Effecting any change in seating arrangement.
Vendor Management :
- Vendor management for stationery, travel agents, courier agents, and all allied third party service providers.
- Tie-up with Hospital's - In case of Emergency.
- General procurement and renewal of annual maintenance contracts.
Transport & Allied Services :
- Maintaining and handling Employee Transport services.
- Handling & ensuring female employee drop during delivery deadline phase.
Equipment Handling :
- Maintaining Shoot Equipment & providing support for purchase of new equipment's.
- Maintaining and reviewing of company asset list.
- Supervise if the office equipment's are working in order like fax, printer, EPBX system or whatever is in use in the office etc.
House Keeping :
- Ensure strict compliance to quality for Housekeeping, Cafeteria, Security services, Company leased accommodations, Guest House Maintenance and Coordination of internal events.
- Supervising the housekeeping staff, security staff, etc.
- Ensuring grooming & cleanliness standards of housekeeping & Office Boy Staff.
Front Office Management :
- Check bills pertaining to front desk for accuracy and ensure timely payments.
- Monitoring the Front Office Staff.
- Ensuring that all BMC registers are maintained & complete.
- Take priority or escalation calls coming to the front desk.
Voucher Signing :
- Checking of Cash Vouchers & taking necessary signatures from the management.
- Overlooking the process of distribution of cash vouchers.
Policy Implementation :
- Implementation of all company related policies and standard agreements.
Reporting :
- Monthly Cost Reporting.
- Responsible for budgeting and cost control through expenditure tracking, monthly reviews and adherence to policies.
