Job Description :
- Reporting directly to the Founder and CEO, the Executive Assistant provides executive support in a one-on-one working relationship.
- The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO.
- The Executive Assistant also serves as a liaison to the board of directors, and senior professors/managers managing research and development teams/labs; organizes and coordinates executive outreach and external relations efforts and oversees special R&D projects.
- The Executive Assistant must be creative and enjoy working within a small, entrepreneurial
environment that is mission-driven, results-driven and community oriented.
- The ideal individual will have the ability to exercise good judgment in a variety of situations, with
strong written and verbal communication, administrative, and organizational and basic technical
skills, and the ability to maintain a realistic balance among multiple priorities.
- The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and
confidential matters with discretion.
Roles and Responsibilities :
Sr.HR :
- Facilitate and oversee all the operations in terms of delivery of a training session and post session across India and Overseas.
- Co-ordinate with Functional Heads to ensure profitability of each training session.
- Maintain all master data in terms of the business unit to prepare weekly, monthly, quarterly, and yearly reports and appraise the management on timely basis.
Specialties :
- New Hire On-boarding, Background Validation, Exit Management, Team Management, HR transitions, Process improvements, SLA deliverables, Outsourcing, Vendor management, Data reporting, Presentations, Training, Transition, End to end process dashboards, Adapted process mapping & implementations.
- Strategic Partner: Enabled Business Consulting, People Data Analysis, Strategic partnership with Engineering, Sales and Support Teams to help them achieve Business goals through effective HR Practices, Strategic Planning to optimize talent, structure, process and culture.
- Employee Engagement Internal EOS vs Glassdoor reviews, HRAdvisory, Talent Management, Talent Development. Performance Management: Manage the full-life cycle performance management process up to and including employee terminations and escalations, manage end-to-end execution of the performance management cycle for the employees and play an advisory role on strategy and methodologies in handling the performance appraisal process, Consulting and providing guidance to leaders on multiple people initiatives such as career directions, employee development, performance management, and diversity.
Organization Development : Developed the compensation process for Managers to manage compensation related issues, Conduct Performance review meetings. Planned & developed competencies across the teams.
Introduced a metrics-based performance management system with a heavy emphasis on operating
results. Spearheaded value-add employee recognition and awards programs. Conduct induction training programs for New Hires.
Communications, Partnerships, and Outreach :
- Ensures that the CEO's bio is kept updated and responds to requests for materials regarding the CEO and the organization in general.
- Edits and completes first drafts for written communications to external stakeholders.
Strategic Initiatives :
- Works with the Strategic Initiatives team in coordinating the CEO's outreach activities.
- Follows up on contacts made by the CEO and supports the cultivation of ongoing
relationships.
- Edits all and creates acknowledgment letters from the CEO.
Qualifications :
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks
seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and extended academic research teams.
- Expert level is written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making
capability.
- Emotional maturity
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced startup environment.
- Forward looking thinker, who actively seeks opportunities and proposes solutions.
- Preferred some technical background along with management skills.
Education and Experience Requirements :
- Bachelor's degree required but Masters degree preferred with a mix of technical and management courses.
- Strong work tenure: some experience supporting C-Level Executives, preferably in a startup organization.
- Experience and interest in internal and external communications, partnership development, and fundraising.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.
