Project Specialist Responsibilities :
- Schedule workshops, ordering materials, shipping out IT kits, loading program information to the Online Platform, ensuring the ERP is up to date and other tasks to support the consultants. The scale of this can vary depending on the client.
- Liaise directly with the client & communicate effectively between the client and program delivery team to ensure delivery timelines are met.
- Coordinate and support the successful facilitation of designated programs in Asia.
- Administration and coordination of participant pre-work and post-work for programs.
- Coordinate with internal team on pre and post program issues and needs to ensure that any client issues are communicated and escalated timely and effectively.
- Ensure the proper and timely preparation and delivery of high-quality program materials and supplies. Performs necessary follow up.
- Ensure that materials are correctly sourced and delivered and the facilitator is equipped with latest materials and updates for programs.
- Act as the client point of contact for all delivery related requests and issues. Acknowledge and respond to all client emails and communication within 24 hours with identified next action points.
- Coordinate for on-site and off-site program logistics in partnership with the client, including set up and break down of meeting rooms and AV equipment; and scheduling of special events, client activities and feedback sessions.
- Serve as principal day-to-day contact for participants and delivery team to meet the individual and group needs. Assists participants with any special needs before, during and after the program.
- Organize periodical review sessions between delivery team and client.
- Support data collection and consolidation for learning impact measurement and review.
- Maintain accurate and up-to-date reports of client activity and programs.
- Work collaboratively with team members across business practices and regions
- Maintain a positive and professional image for efficiency, and effectiveness and collaborate openly and effectively with all key internal stakeholders.
PMO Support Responsibilities: - Analyze status of development projects across Asia (are they on track, within budget, etc)
- Creating reports to track the progress with respect to key business initiatives (such as Consultant Utilization, Solution Quality, Project Performance)
- Providing verbal and written communications regarding project status, risks and issues to the regional PMO head.
- Co-ordinate with consultants across Asia to gather data and share reports.
Candidates must show :
- At least 3 to 5 years of experience in supporting the deployment of learning journeys, leadership development programs and human resource consulting projects.
- Use of ERP & CRM platform (e.g. Salesforce.com) will be looked upon favorably.
- Ability to manage multiple projects and work remotely with colleagues and clients.
- Strong Fluency in English is required.
- Good communication and interpersonal skills, with an authentic and confident presence
- Excellent project management skills and strong organizational skills
- Ability to work with multiple stakeholders and deliver under tight timelines
- Expertise in Microsoft Office Suite (Excel, Powerpoint, Word)
- Alignment with BTS values, including client centricity and an entrepreneurial mindset
- Experience working in a multi-cultural environment, ideally in Asia
