Pre Sales
- Review and submit MS project schedule of potential Projects to Sales for onward submission to customer based on inputs received (like RFQ, layout etc.)
- Post creation of MS project schedule, review manpower estimates for onward submission to customer
- Provide inputs if any wrto any observation during preparation of the layout Initiation
- Post receipt of contract from Sales (along with relevant documents),ensure that correct Sales Order (with all necessary detail) is punched in SAP/PLM
- Get nomination for Project Manager from GM/VP/HOD - Project
- Conduct IKOM with all internal stakeholders and develop complete understanding of the scope, terms, and agreements along with Project Manager and release minutes of the IKOM meeting
- Create a macro-level MS Project schedule (PS1) based on the inputs / details received in IKOM, R&D, IT, SCM and PPC
- Initiate EKOM along with Project Manager and Customer to develop complete understanding of the Project's Scope Matrix, Commercial Terms and MS Project schedule (PS1). Also, release minutes of the EKOM meeting
Planning
- Create a detailed MS Project schedule (PSII) based on the inputs / details received in EKOM, R&D, IT, SCM and PPC. Also, fix the same as Project Baseline schedule and generate a S-curve for the project. Also, circulate the same to all stakeholders (internal & customer)
- Prepare communication plan/Organogram/Escalation Matrix for the project and circulate the same to all stakeholders (internal & customer)
- Prepare detailed tasks, sub tasks, resource allocation, resource levelling, resource calendar, etc. in coordination with project managers to ensure satisfactory realization of project contract requirements as per the set baseline
- Prepare and maintain Resource deployment plan (Addverb's Engineers, Contractual Manpower, and Hired Machines) in coordination with project managers to ensure satisfactory realization of project contract requirements as per the set baseline
- Prepare I&C budget under GL codes in coordination with project managers and seeking its approval from GM/VP/HOD - Project
- Prepare Dispatch Plan as per the project baseline in coordination with the project managers for onward submission with PPC, which further circulate the same with all internal stakeholders
- Identify Risks of the project and create alternatives / mitigation plan for the same
- Negotiate with vendor for deploying Contractual Manpower and Hired Machinery at site to finalise terms and conditions. Also, issue Purchase Request to SCM and Purchase based on the agreed terms and conditions
- Ensure list of special tools & tackles and plan for procurement and inventory of the same in the factory
- Prepare monthly resource allocation/deployment for site execution team in coordination with project managers to ensure optimum utilization of all resources
Execution
- Periodical visits to project sites to have update on critical projects
- Monitor adherence of Gate control for all projects and ensure that data repository is created for each project for records and future references
- Monitor Change Request Log as and when there is any change / variation in scope, timeline, cost etc. by getting inputs from Project Managers and relevant stakeholders
- Provide inputs to Sales and seek a commercial offer for the Change Request for onward submission to customer
- Monitor the ongoing Issues of the project raised by Project Managers and Project Engineer and ensure coordination mechanism with first person responsible for resolution of issues and support site team for on time resolution
- Support project manager (International Projects) with respect to tracking of status of SCM, Manufacturing, Testing FAT and Dispatch Control
- Ensure adherence to the Project Process Map. Ensure all team members are aware of project process map by creating ease of access, application, forms etc.
- Update Actual Progress in the Baseline schedule to Monitor the Schedule Variance and if there is any lag in the schedule then, highlight the same to GM/VP/HOD Projects. Also, suggest a mitigation plan
- Monitor Actual Cost to check Cost and Schedule Variance and if there is any cost overrun then, highlight the same to GM/VP/HOD - Projects. Also, suggest a mitigation plan
- Conduct internal review with R&D, IT, SCM and PPC along with Project Manager to monitor the Project progress. Also, issue minutes of the meeting. Executive summary of delays shall be shared with GM/VP/HOD- Projects on weekly basis
- Participate in external review with customer conducted by Project Manager keeping key stakeholder of the project in the meeting. Also, issue minutes of the meeting
- Monitor stagewise adherence to project schedule and check for RCA of delay by using Delay analysis
- Review Provision for all projects and share the same with Accounts & Finance
- Review Monthly deployment plan for all projects where I&C Phase is ongoing and also for the projects where I&C Phase is to be initiated to HRBP for accomplishing Statutory Compliance for each project
- Prepare reports and organize reviews with GM/VP/HOD - Projects on fortnightly basis
- Ensure on-time submission of all MIS reports with all stakeholders for live monitoring
- Review analysis for Plan vc Actual or Gap Analysis in Dispatch Plan shared with PPC
- Review RCAs for non-adherence of plan with stakeholders and publish the same to have better understanding of bottlenecks in the project execution
- Monitor adherence to new dispatch philosophy to ensure gaps in material receipt at site
- Monitoring the FAT mechanism for all projects for timely dispatches
