Procurement Ops Officer - FMCG/Paints

Responsible for tactical sourcing of Indirect Procurement goods and services in Country cluster for various spend portfolios.

- Support the procurement organization to meet goals and objectives in support of the overall company strategy

- Support development and implementation of procurement strategies and policies

- Support delivery of cost savings based on sourcing strategies and compliance management

- Support Procurement Manager with the tendering process and the subsequent analysis

- Work with users in the Country cluster to analyse and collate information regarding current requirements and future needs in order to develop sourcing strategies and projects for local tactical sourcing

- Work within defined Procurement procedures (ways of working) and adhere to the Code of Business Principles at all times

- Work in an effective, cohesive team environment

- Support team activities in accordance with the Sustainable Living Plan

- Support the financial analysis of the various portfolios, including price benchmarking and total cost analysis

- Support the periodic Executive Summary for the Team by consolidating and reporting various KPIs (e.g. savings, avoidance, key KPI’s (getting the basics right), Market updates, Payment Terms Tracker, RS, Sustainability, Supplier Performance, etc)

- Continuously improve ways of working e.g. more efficient ways of handling data

- Manage diverse end user, supplier or operational issues when they arise

- Support the management and maintenance of supplier relationships

- Support Procurement Director, Procurement managers on presentations and updates for internal and external audiences

- Update of USQS

- Support creation and update contracts in the system (via 3rd party) and ensure they are returned signed from supplier and filed locally as required

Key Responsibilities

- Help develop, implement and drive procurement strategies for tactical sourcing in the cluster

- Engage with Procurement Managers (Strategic Sourcing Portfolio team) to understand the sourcing strategies and strategic contracts in place for all portfolios - ensure sourcing instructions from Procurement Managers are clear

- Implementation of Tactical and Strategic sourcing agreements at assigned site cluster level

- Support Procurement Cluster Manager and Procurement Portfolio Managers by providing timely and accurate assistance on relevant topics and initiatives as required

- Support Tactical and Strategic sourcing projects as required

- Support all IP transformational initiatives as required; NoPoNoPay, automation, e-invoicing, improvement supplier payment, etc.

- Co-ordinate procurement projects him/herself as needed

- Work with Legal to finalize commercial agreements using contractual operating framework agreements

- Develop supplier service levels, track and analyse supplier performance data, proposing priorities for performance improvement and follow up monitoring actions

- Address/escalate supplier non-performance as appropriate

- Measure compliance by end users to Procurement policies and contracts

- Manage Ariba Buyer purchase requisitions from the business (end users) through tactical buying process, expedite emergency orders when necessary

- Source and negotiate for assigned spend and site cluster goods and services where no contracts exists and that have not been strategically sourced

- Identify opportunities to standardize purchasing requirements and enable this in the form of a catalog that can be loaded into Ariba Buyer

- Proactively identify and delivery Savings and Cash in line with set targets

- Identify and propose cost reduction/continuous performance improvement (supplier) opportunities

- Identify, implement and record all cost savings/avoidance in savings tool (ISIS)

Professional Skills:

- Strong analytics

- Proficient in Microsoft Excel and PowerPoint

- Good interpersonal skills and track record of stakeholder/supplier management

Experience:

- Working in complex, cross functional organizations

- Qualification & Experience : Mechanical / Production / Electrical with 3 – 5 yrs of experience in procurement in FMCG only

OR

- ANY Graduate with 5 – 6 yrs of experience in procurement in FMCG only

- Indirect Procurement - Sales & Marketing Profile

- He/She should have an experience in Activation, Promotion, Print, POSM (point of sale material), buying gifts and premium services like canteen, FM (facility management), security, Travel.
