PURPOSE OF THE ROLE:
- This role is responsible for working on assignments that are complex in nature, requiring a high degree to judgment, tact, creativity and initiative to resolve problems.
- The role is required to provide high-level, confidential and efficient services to the CFO.
- As business analyst to the CFO, you will take an active interest in the success of the company and act as a - right arm- to the CFO.
- Your ability to adjust direction in response to changing work situations, to accommodate different working styles, and to prioritize your own work will be the key to your success.
- This is role is also responsible for anchoring the capability agenda for the function in co-partnership with the HRBP.
Key Challenges:
The role requires working in a fast-paced, tight schedule environment.
Comfort with managing executive leadership agendas to keep initiatives from derailing is one of the key challenges of the role.
Also, regular follow-ups required in getting required information from stakeholders within and outside the function would be critical.
KRA's :
Executive Assistance :
- Coordinating and assisting in various One-to-one's meeting with the Management
- Setting up Business Planning meetings and coordinating all meetings in support of team efficiency; working with the CFO and Head of FLT to ensure the team meets frequently to discuss on agreed actionable items.
- Leading cross functional engagements which includes goal alignment meetings and functional town hall / meetings
- Recording, transcribing and distributing minutes of meetings
- Preparing the action items decided in leadership meeting and ensuring that proper and regular follow up of all the action points is done with the responsible person. Timely and proper closure of the points is of utmost priority.
- Providing direct support for the Senior Management team as required, particularly in meeting business planning targets.
- Liaisoning between CFO, senior leaders, other stakeholders and employees. Anticipating the CFO's needs and proactively bring together appropriate people and resources together to support the CFO in addressing issues.
- Scheduling regular personal review, appraisal and mentoring meetings
- Providing necessary assistance in preparation of the P4G of CFO as per inputs gathered
- Preparing the deck and documents for review with Global Finance Head
- Drive specific projects pertaining to functional effectiveness projects
Follow-up Management :
- Acting as SPOC for coordinating and driving Entire Finance and IT Internal Audit open items between Finance & IT team and Internal Audit team
- Regular Follow-up and monitoring of pending / overdue and open items to ensure satisfactory and timely closure of pending and open items
- Liaising across major functional leads to ensure efficiency of delivery. Assistance in closure of Follow-up Finance Minutes in Ex-Com meeting.
- Providing the escalation of issues and risks to the Functional head to ensure that key decisions can be taken in a timely manner.
- Supporting Heads of Department in coordinating pipeline and work-flow
- Working in a proactive manner to ensure that all strategic projects and policies are followed up and completed in a timely manner ensuring high quality delivery. Choreographing complex projects, events and ensure that all facets of discussions are flawless.
- Taking a coordinating overview of all office systems to ensure their effective running and development.
Handling Events and Awards :
- Arranging Corporate events like Annual All India Finance & IT, EFLT workshops and offsite, Annual closing events. Area of responsibility encompasses everything right from planning the theme,finalising the participant list, external speaker, venue and vendors, making necessary arrangements pre and post the event.
- Handling Amazing Team week for all India Finance & IT. In includes preparing the action plan as per the guidance of CFO and making necessary arrangement pre and post the event.
- Leading the task related to various internal awards submissions and recognition for FIT and various External Awards nominations & submission for various external awards (ICAI Best CFO award, IMA, BTVI etc). Area of responsibility encompasses here
- Setting the call with the sponsoring organisation and understanding the requirements on submission of the nomination
- Studying in depth on various sections of the awards and preparing a detailed note on process flow of submitting the nomination
- Informing the team on agenda of award particularly external award nominations and seeking their inputs on areas related to them
- Assembling the inputs from various sources and after proper sanitisation prepares the draft of the nomination form
- Discussing in length with CFO on draft nomination forms and noting down the changes and advices
- Incorporating changes as advised by CFO in nomination form and preparing the final version for CFO review
- Submitting the nomination after receiving final approval of CFO
Assistance in Internal and External Communication :
- Preparing and editing correspondence, communications, presentations and other documents
- Drafting content for CFO (Award nomination, media release, speech as guest speaker, internal posting on social platform like Yammer and like wise)
- Designing and maintaining databases
- Filing and retrieving documents and reference materials
- Conducing research, collect and analyse data to prepare reports and documents
- Preparing and circulating dashboards on regular basis
- Supporting the CFO and FLT's to prepare information for presentations, media interviews etc
- Creating reports from the data collected from various key stakeholders and presenting it in a format most relevant for the purpose. Applying analytical skills and attention to details to add value to the assignments by your sheer intellect.
Capability Development :
- Driving/anchoring the learning & development agenda (CLD) for the function in active partnership with the HRBP
- Drive and organise capability council
- Providing necessary assistance in making necessary arrangement related to mentor- mentee programs
- Driving various inclusive and diversity meetings with CFO / Global CFO
General Office Support :
- Maintaining all HR records, staff contracts, appraisal and training records of CFO.
- Updating the CFO on key organizational issues when he is out of the office
- Handling sensitive and confidential material and matters strictly in accordance with policy and instructions.
- Providing necessary support on various subjects to other members of the FLT
REQUIREMENTS
Qualification:- MBA Finance (Tier II), CA Qualified Experience:
Experience: At least 5-8 years of post-qualification experience
