Purpose of the Position
Primarily responsible for managing the end-to-end export processes & operations, managing & executing the export documentation in accordance with legal & procedural requirements, implementing process improvements thereby availing 100% of export benefits through managing & leading a large team of export documentation experts.
Key Roles & Responsibilities
The major / primary roles and responsibilities of the job will be as follows, including but not limited to:
- Manage and lead a team of 20+ export documentation experts who are looking after the end-to-end export documentation processes of the company. Ensure that the team is always following the export procedures and meeting compliance requirements.
- Proactively identify short comings in the export documentation processes and implement corrections / improvements.
- In consultation with stakeholders, prepare and implement SOPs and SLAs for the export documentation. Ensure that the SOPs and SLAs are well understood and diligently followed.
- Ensure comprehensive understanding and adherence to customs and government regulations and adapt to the changes in a proactive manner.
- Obtain essential shipment data from stakeholders to start the documentation process and communicate daily with the stakeholders to ensure all documentation is accurately submitted.
- Oversee the preparation and verification of pre- and post-shipment documentation and ensure accuracy. Address complex documentation issues and provide guidance to the team.
- Ensure completeness, and compliance with international trade standards.
- Manage all the export related banking transactions, including but not limited to Letter of Credit, Bank Guarantees, and all other mode of payments.
- Manage the CHAs and Freight forwarding companies thereby ensuring seamless collaboration for timely and accurate services.
- Ensure that the team finalizes the Bill of Lading (BL) drafts and shipping instructions for smooth export operations.
- Align the team's work in the direction to maximize export benefits and enhance savings.
- Implement compliance strategies and conduct periodic audits of the team's work.
- Have a regular communication with the overseas stakeholders for SLAs and feedback.
- Generate comprehensive reports on export operations performance and present to the management for their informed decision making.
- Provide insights and recommendations based on data analysis.
- Communicate regularly with the team on KPIs and strategic initiatives.
Skills, Knowledge & Competencies
Specific skills & competencies:
- Must have a very good understanding and application of the Foreign Trade Policy.
- Complete knowledge of handling the Advance License scheme.
- Have a clear understanding of the application of the scheme for Remission of Duties and Taxes on Exported Products (RoDTEP).
- Export Promotion Capital Goods (EPCG) scheme of DGFT for the benefit of the organization.
- Duty Drawback scheme of Govt. of India to obtain the advantages for the business from it.
- Knowledge to operate Govt. Portals (DGFT, ICE GATE, Etc.)
Generic skills & competencies:
- Excellent command over English, both verbal and written.
- Leadership and people management skills.
Negotiation skills.
- Good knowledge of MS Word, Excel, and Power Point.
- Having a knowledge of SAP will be an added advantage.
Experience:
- Total experience of 15-20 years in export documentations in a manufacturing setup.
- 5-8 years of experience in managing large teams.
Education Qualifications:
- Graduate in any stream.
- Candidates having professional education in foreign trade will have an added advantage.
