- The Opex Procurement Manager at Smartworks oversees and enhances the procurement process for operating expenses (Opex). This role includes strategic sourcing, vendor management, and ensuring that goods and services are acquired in a timely and cost-efficient manner to support daily operations.
- The manager will work closely with various departments to assess their procurement needs and devise strategies to fulfill these requirements effectively. The candidate should have extensive knowledge of procuring HK Consumables, Pantry Consumables, etc. Managing the entire Repair & Maintenance procurement and managing the Indent to PO to Delivery to Invoicing for all the team members.
Key Responsibilities:
1. Strategic Sourcing:
- Develop and execute procurement strategies for Opex categories in alignment with company goals.
- Identify and evaluate potential suppliers, negotiate contracts, and secure optimal terms.
2. Vendor Management:
- Build and maintain strong relationships with key suppliers.
- Monitor supplier performance, address issues, and ensure adherence to contract terms.
3. Procurement Operations:
- Oversee the complete procurement process, from requisition to purchase order creation, approval, and delivery.
- Ensure timely and accurate processing of purchase orders and invoices.
4. Cost Optimization:
- Identify and implement cost-saving measures without sacrificing quality or service levels.
- Conduct market analysis to stay updated on industry trends and price changes.
5. Compliance and Risk Management:
- Ensure compliance with company procurement policies and procedures.
- Identify and manage risks related to the procurement process.
6. Stakeholder Collaboration:
- Work with internal stakeholders to understand their procurement needs and offer solutions that meet their objectives.
- Participate in cross-functional teams to support company initiatives and projects.
7. Data Analysis and Reporting:
- Analyze procurement data to measure performance and identify improvement areas.
- Prepare regular reports on procurement activities, cost savings, and supplier performance.

- Cost Savings: Achieve cost-saving targets for Opex procurement categories.
- Supplier Performance: Ensure high levels of supplier performance and reliability.
- Procurement Efficiency: Maintain efficient and timely procurement transactions.
- Compliance: Adhere to procurement policies and regulatory requirements.
- Stakeholder Satisfaction: Achieve high levels of satisfaction among internal stakeholders.
Key Performance Indicators (KPIs) :
- Cost Savings Achieved: Percentage of cost savings realized compared to targets.
- Supplier Performance Metrics: Supplier delivery times, quality, and service levels.
- Procurement Cycle Time: Average time taken to complete the procurement process.
- Compliance Rate: Percentage of procurement activities meeting policy and procedure standards.
- Stakeholder Satisfaction Scores: Feedback scores from internal stakeholders.
Qualifications :
- Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
- At least 5 years of procurement experience with a focus on Opex categories.
- Strong skills in negotiation, analysis, and strategic thinking.
- Excellent communication and interpersonal abilities.
- Proficiency in procurement software and Microsoft Office Suite.
- Knowledge of procurement best practices and industry trends.
Preferred Qualifications :
- Experience in the real estate or coworking sector.
- Familiarity with ERP systems.
