HR Payroll Manager
We are hiring for one of our clients to be based in Gurgaon.
Employee lifecycle management:
- Submit new starter information to the payroll provider to ensure accurate set up, including tax and CPF details
- Submit termination details to the payroll provider to ensure accurate termination payments
- Administer any changes in employment and communicate these to the payroll provider
- Commission payment details are confirmed with the Finance team and submitted to
- Parental leave payments received are logged and passed on to employees where required
- Log bonuses and other onetime payments with the payroll provider to ensure timely processing
Payroll processing (including off cycle payments):
- Communicate payroll deadlines in advance to any required parties, including but not limited to the HR and Finance teams
- Relevant data is input into the correct upload sheets and logged with the payroll provider before payroll deadlines
- Logged tickets with payroll provider are consistently tracked to ensure tickets are processed in the relevant pay run
- Interpret relevant awards to confirm payment details, working with HR Managers for support where required
- Simulated pay slips and calculations provided by the payroll provider are reviewed carefully to ensure accuracy in payments
- Any discrepancies are brought to the attention of the payroll provider and investigated thoroughly before being processed
- Payroll checking reports (including variances) provided by the payroll provider are reviewed and checked in a timely manner to not impact payment dates
- Assist in the overall payroll approval process by liaising with Finance and relevant managers to ensure payments are not delayed
- Provide guidance and confirm any details required by the payroll provider to process payments
End of Financial Year (EOFY):
- Liaise with the payroll provider to ensure a calendar for all payroll activities related to EOFY and the new financial year is provided beforehand with adequate time for review
- Completion of required tasks as detailed in the calendar
- Work with the payroll provider and Finance teams to ensure required reporting is completed
- Prepare and release communications with instructions for employees to access payment summaries
Superannuation:
- Address monthly superannuation rejections to ensure timely superannuation payments are being made to employees
- Ensure any changes to CPF details as advised by employees are managed and actioned, including changes to superannuation salary sacrifice amounts
- Administer any changes to CPF legislation
- General queries- Respond to general employee queries and investigate and resolve as required
- Work with payroll provider to correct any issues and effectively communicate these to affected employee/s
- Ensure accurate advice is provided in accordance with payroll legislation
- Provide support to the wider HR team on any payroll-related matters, referring to external resources for support where required
Ongoing data management :
- Regularly review and audit information being stored in the payroll system against the Workday system
- Complete any org changes in the payroll system in a timely manner to ensure accurate approval levels and data are maintained
- Maintenance of parental leave spreadsheet
- Updating onetime payment register as necessary
Process improvement:
- Consistently identify areas for improvement with current payroll processes
- Work and consult with necessary parties to implement process improvement activities
- Ensure the payroll provider is adhering to agreed SLAs and escalating where necessary
System Administration:
- Assist employees with troubleshooting any issues experienced with the payroll system, referring on to the payroll provider where required
- Ensure new employees are set up and sent details to access the payroll system
- Provide employees and managers with training on the use of the payroll system where needed
