To manage commercial transactions and coordinate field activations executed by the Marketing Function. Ensure seamless process flow between various HO functions and Marketing

Key Accountabilities (A collection of duties and/or responsibilities assigned)

1. Commercial:

Tracking of financial spends for the Department (each of the four sub functions) including the spends for Brand activation across India and co-ordination with all vendors on payment/ outstanding to ensure a quick turn-around time for payments - Overall a 30 day cycle from the date of receipt of invoices

Tracker (Provisions) sent to Finance at the end of every month on YTD basis

Share Spends with each vertical (Brand Activation, Bancassurance & Alliance, Online etc) as and when required based on monthly spends, Campaign wise spends etc.)

Raising of Payment Requests on a timely basis, getting relevant approvals from team members and HOD and submission to Finance

Creation of PO Requests (SAF- s) wherever necessary, getting relevant approvals from required Heads as per TOA and submitting to Procurement for release of PO- s

Tracking of long term contracts - expiry/renewals

Tracking of Travel and entertainment and other reimbursement expenses incurred by the Marketing Department (HO/Across India as per PRF's received for approval)

2. Administration:

Co-ordination of all logistic support for the entire team with internal travel desk/Admin to manage the travel/transport/accommodation requirements (International/Domestic) including compiling of expense statements & reimbursements if any.

Assist with all relevant requirements for new joiners - IT /Corporate Services

Enrolment and documentation processing for HOD/team for participation in Seminars/Events

Providing assistance in handling appointments/telephone calls/meetings

Managing Filing system/maintaining of Guard Books for events/sales collaterals etc. for the Dept.

Arranging of VC- s/Concalls whenever required

External & Internal Interfaces whenever required

Execute special projects on need basis (eg: Process Mapping for Marketing.)

3. Audit & Compliance:

Track the approval process on all creatives for each of the four sub functions in Marketing

Timely IRDA filing

Updation of online register as per the requirement by IRDA

Skills, Knowledge & Qualifications (Framework required by the position)

- Graduate in any discipline

- 8+ years of work experience

- MS Office skills

Personal Attributes & Competencies

- Ability to deal with senior members of the team and engage with the Regional Marketing Managers

- Ability to manage timelines without losing attention to detail

- Communication skills
