Job Description:
Reporting to: General Manager
Key Responsibilities
Facilities Management:
- Managing the facilities of the corporate office and ensuring smooth running at all times. Managing Housekeeping, Security, access management, infrastructure supervision, BMS etc.
- Ensure compliance to statutory laws with respect to S&E requirements for the corporate office
- Oversee outsourced vendor employees for performance against laid down SLAs
- Mail room management
- Oversee and manage corporate facilities such as guest house, warehouse etc.
Branches and Offices:
- Act as a repository and custodian of all legal agreements and documents for branch and office premises
- Liaise with ZSMs and set up branches as per new branch guidelines including search, negotiation and legal due diligence
- Standardisation of design of branches and offices
- Liaise with regulatory bodies for various permissions
- Liaise with legal team for POAs of branch personnel
- Rental module to be updated as per agreements and ensure the same is up-to-date
- Liaise with finance for payouts of rent, maintenance, service tax, electricity deposit etc
- Liaise with zonal managers for retrieval of Security deposits
Managing Vendors:
- Seek and empanel vendors as per process and within budgets nationally - such as housekeeping, security, telephones, couriers, stationery
- AMCs as necessary
- Insurance liaison for renewal, claims etc
- Payout processing as per process
Managing Admin Budgets:
- Cost Savings by Demand Management,
- Streamlining process to reduce wastage
- Negotiating unit costs, consolidating vendors for more efficient sourcing
Employee Car lease management
- Managing Employee Car lease
Reporting:
- IRDA and Management reporting on Office and Branches
- Monthly Provisions to finance.
- Rationalization tracker
Process Improvements:
- Documenting and reviewing SOPs
- Streamlining and automating processes for Admin related requests and complaints
- Active use of Co Desk
Team Management:
- Managing and Mentoring an effective and enthusiastic team
Required qualifications and experience :
- Excellent communication skills to be able to manage key stakeholders and senior management.
- Experience in budgeting with a proven track record of managing within costs will be preferred.
- Currently, needs to be managing administration for a Zone / Region
- Should be willing to relocate to Mumbai at his/her own cost.
