Asst. Vice President / Vice President Program Implementation
Strategic Planning & Growth :
- Work very closely with the Program Head / President and contribute to the overall development of regional business strategies in alignment with overall Organizational Goals and Objectives.
- Translate strategic objectives into operational plans for the region and ensure effective execution of planned goals and objectives in the defined timelines.
- Work with the Program teams to develop and execute strategies for growth within the region.
- Identify new opportunities and potential partnerships.
Operations Management:
- Oversee day-to-day operations within the region to ensure efficiency, productivity, and adherence to quality standards.
- Implement and enforce operational policies and procedures as per MOU and Terms and Conditions.
- Manage day-to-day operations and provide required support, guidance, coaching to the teams.
- Conduct periodical team meetings and evaluate the performance. Provide constructive feedback for improvement and recognize performance and achievement.
- Ensure and achieve set goals in enhancement of impact compared to Baseline and Endline Assessments of Beneficiaries.
Financial and Grant Management:
- Collaborate with the finance department, grant managers to manage the regional budget and allocate resources effectively.
- Monitor financial performance, identify variances, and implement corrective actions.
- Ensure for all projects that have a lot of procurement or external vendors, timely payments are made to the vendors
- Ensure timely submission of bills in the correct format to the concerned authority and also appropriate communication with the vendors.
- Ensures all Grant Requests Letter are sent to the Donors on time with all necessary supporting.All MOUs are signed and executed on time with all Donors.
- Ensure receipts of Grants are shared on time. Ensure submission of proposals as per closure or new requests. Any expenses/budgets underspent or overspent are highlighted with suggestions to resolve the same.
Stakeholder Satisfaction:
- Ensure high levels of Program Teams' / External and Internal stakeholders' satisfaction by overseeing the delivery of quality and impact.
- Address program team/ donor concerns and implement improvements with regard to operations and procurement based on feedback.
- Manage and effectively resolve any Donor / Stakeholder grievances, complaints/issues etc., within the defined timelines.
Logistics and Supply Chain:
- Manage regional logistics and supply chain activities to ensure timely and cost-effective delivery of goods or services.
- Collaborate with the program teams and procurement team to smoothen processes ensuring timely and cost-effective procurement of materials and services.
- Build and maintain strong relationships with key suppliers. Optimize inventory levels and distribution channels.
- Effectively manage the inventory, and contribute to cost optimization without compromising on quality, stakeholder satisfaction and compliances.
- Manage Vendor Relations, wherever applicable, and build effective vendor database for timely execution of procurement requirements.
Human Resources:
- Work very closely with HR / Recruitment Team and create a bank of Resume / CV database for filling ongoing vacant positions in existing projects and / or tentative positions for upcoming projects to avoid unspent under the budget heads. Plan and hire effectively in a given timeframe.
- Manage cordial employee relations at all times and seek support from HR as and when required to address any employee grievances/issues amicably.
Learning & Development:
- Work collaboratively with Program Managers and Learning & Development Team and ensure appropriate Training Calendars are prepared, communicated and executed as per the needs identified for each team member and also as per the Program requirements for Financial Year.
- Work with internal stakeholders to identify learning and development requirements for the team and deliver on the same.
- Effectively participate and assess pre and post training assessment of participants and provide feedback to L & D Team on the learning impact.
Performance Monitoring:
- Develop and monitor key performance indicators (KPIs) to assess the success of regional operations. Utilize data and analytics to drive decision-making and continuous improvement.
Monitoring & Evaluation (Assessments) - Initiating the call for all assessments by third party along with the PM and Program Head.
- Ensuring release of payment to the third party along with the report and as per the deliverables.
Regulatory Compliance :
- Ensure compliance with regional regulations.
- Collaborate with legal and compliance teams to address any regulatory issues.
- Participate in internal / external / donor audits and provide all required support to ensure there are no major NCs.
- Ensure all documents are managed and maintained accurately at all times. Ensure the Programs / Projects are audit ready at all times.
Resource Management:
- Oversee resource allocation, including personnel, equipment, and facilities, to meet operational demands. Support Program heads to monitor and manage budgets to ensure cost-effectiveness.
Risk Management :
- Identify potential risks and develop strategies to mitigate them.
- Implement robust contingency plans to ensure business continuity.
