Executive Assistant to the Chairman, ICF

General Scope of work :

- The overall scope of assignment is duly execution of tasks on the vision, mission and agenda of India Center pertaining to the tasks assigned by the Chairman.

- The incumbent will act as Executive Assistant to the Chairman. The broad view of scope of work is:

Principal tasks and responsibility:

- Completes a broad variety of administrative tasks for the CHAIRMAN including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

- Conserves Chairman's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

- Handle business presentation, meetings, corporate relations, all confidential matters etc. Attending meetings along with the chairman and board members. Taking minutes and circulating it to the relevant board members / staff members.

- VVIP and VIP guest relation Management. Also Co-ordinate invitations at Ministerial and VIP level.

- Works closely and effectively with the CHAIRMAN to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Chairman updated.

- Communicates directly, and on behalf of the CHAIRMAN, with Board members, trustees, Foundation staff, and others, on matters related to CHAIRMAN's programmatic initiatives.

- To co-ordinate with other EA’s, secretaries, Managers etc. on frequent basis in order to gather the relevant information. Should be a Team Player.

- Represents the Chairman by attending meetings in his absence; speaking for the Chairman – to be able to present the Vision of Chairman in front of Board Members.

- Implementation of permanent administrative policies, procedures, and structures.

- Serves as the Chairman’s administrative liaison to the Foundation’s board of directors and trustees.

- Any other tasks assigned by the Chairman.

Desired Skills and Experience

1. Master Degree in Management / Social Sector. Working experience in NGO’s / government organizations would be an advantage.

2. Should have excellent writing skills. Knowledge of Japanese would be an advantage.

3. Should have Strategic Planning and Networking Skills

4. Ability to analyse and break up complex problems

5. Should be able to work under extreme pressure.
