The JD Is As Follows :
Job Title : Head - Operations- Events and Exhibitions
- This role involves coordinating with various stakeholders, managing logistics, ensuring the smooth setup and dismantling of exhibits, and providing excellent customer service to exhibitors and attendees.
- The ideal candidate will be detail-oriented, organized, and skilled in managing multiple projects simultaneously.
Key Responsibilities :
Exhibition Planning and Coordination :
- Collaborate with the event planning team to develop and execute detailed operational plans for exhibitions.
- Coordinate with vendors, contractors, and suppliers to ensure timely delivery and setup of exhibition materials.
- Manage the layout and design of exhibition spaces, ensuring compliance with safety regulations and client specifications.
Logistics Management :
- Oversee the transportation, installation, and dismantling of exhibits and equipment.
- Coordinate with venue staff and external partners to manage access, utilities, and other logistical requirements.
- Ensure all necessary permits and licenses are obtained and compliant with local regulations.
Vendor and Stakeholder Management :
- Negotiate and manage contracts with vendors, suppliers, and service providers.
- Serve as the primary point of contact for exhibitors, addressing inquiries and resolving issues promptly.
- Coordinate with internal teams and external stakeholders to ensure alignment and smooth execution of the event.
Budget and Resource Management :
- Develop and manage the exhibition budget, tracking expenses and ensuring cost effectiveness.
- Monitor resource allocation and optimize the use of materials and labor.
- Prepare financial reports and documentation for review and approval.
Event Execution :
- Supervise the setup, operation, and breakdown of the exhibition, ensuring adherence to schedules and quality standards.
- Implement and manage on-site operational procedures, including security, crowd control, and health and safety protocols.
- Address and resolve any operational issues that arise during the event.
Post-Event Activities :
- Conduct post-event evaluations, including feedback from exhibitors and attendees.
- Prepare and present reports on event performance, including successes and areas for improvement.
- Ensure timely and efficient dismantling of exhibits and return of rented equipment.
Qualifications :
- Bachelors degree in Event Management, Hospitality, Business Administration, or a related field.
- Proven experience in managing large-scale events or exhibitions, including logistical and operational aspects.
- Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Proficiency in event management software and Microsoft Office Suite.
- Ability to work under pressure and adapt to changing circumstances.
- Knowledge of safety regulations and compliance requirements related to exhibitions.
Preferred Skills :
- Experience with contract negotiation and vendor management.
- Familiarity with digital event management tools and platforms.
- Certification in event management or a related field.
Working Conditions :
- Ability to work flexible hours, including evenings and weekends, as required for event setup andexecution.
- Occasional travel to event locations may be required.
- Physical requirements may include lifting and carrying materials and standing for extended periods.
- Open to work in Mumbai.
- Relevant experience in Operations.
