Position - Head - HR Shared Services

Reporting to : CHRO

Location : Noida

Reportees : Complete team of HR Shared Services (app 30+ Resources)

Position Profile

- The Head of HR Shared Services provides leadership, direction and prioritization for all services within the HR Shared Service Centre. Responsible for leading and influencing the delivery of HR Shared Services operational activities, including HRO, and maintains a strong knowledge of HR Operational best practices. HR Operational activities include: Leads and provides HR reporting and analytics across all HR functions (including the delivery of all HR Dashboards), responsible for the overall maintenance and quality of the of HR Portal, all document management processes, HR Information Systems, HR Project Management Office, Vendor Management, Continuous Improvement, HR budgets, and all Service Management activities (including measurement of SLAs and OLAs).

Job Duties And Responsibilities

- Directs, plans and manages HR Shared Service Centre teams in accordance with the organization’s strategic direction.

- Supports the overall activities of the HR Project Management Office and development/maintenance of all HR Budgets.

- Staffs, manages and motivates a team of direct reports.

- Delivers HR services, procedures and processes that are considered value added, measurable, directly tied to business objectives and aimed at increasing employee success and satisfaction.

- Responsible for maintaining all compliancy requirements of HR transactional processes.

- Works to build HR Service Centre team performance and group commitments to goals and objectives and measures results to improve transactional efficiencies.

- Assumes ownership for performance against business objectives for areas of responsibility.

- Accountable for creating all service standards metrics and ensuring all service standards are monitored and inappropriate levels are handled consistently and fairly throughout the HR Call Center.

- Accountable for identifying and effecting continuous improvement and service delivery excellence opportunities throughout the operations functions by identifying and adopting best practices.

- Understand and utilize HR systems including SAP, and others to stream line processes and achieve deliverables.

- Actively engage in problem/conflict resolution, coaching and counselling and training and development.

- Research, coordinate and manage HR records retention strategy.

- Ensures there is a positive internal and external working relationship within the HR Shared Service Centre team and with stakeholders & customers by frequently communicating and soliciting feedback with both parties and by measuring customer satisfaction.

- Interacts and works closely with leadership to identify deliverable gaps and possible solutions.

- Work with leadership to negotiate service level objectives, identify additional service offerings, department needs or opportunities for improvement.

- Works closely with other HR teams such as BU HR Partners & Entity Heads, Training & COE’s, etc., on issues that relate to and may need to involve the HR Shared Service Centre team.

- Stays up to date on trends and developments within functional area of expertise, constantly researches and uses best practices of similar and successful companies as benchmarks.

- Responsible for vendor management processes, interfacing with internal partners in Strategic Sourcing and Legal to develop sound contracts and monitor vendor performance to ensure compliance with all local laws and company policies.

- Lead and participate on HR projects in support of the Company Strategy.

- Responsible for effective execution of HR Audits.

- Responsible for high internal CSAT levels.

- Models and actively champions the importance of knowing, supporting, and adhering to organizational policies and procedures, including confidentiality.

- Performs other duties as assigned.

Qualification & Experience

- Masters Degree and at least 15 years’ or more experience in two or more of the following Human Resources areas of concentration: HR Generalist, workforce planning, performance management, compensation and benefits, employee services, data administration, payroll, HR services document and records management, and/or HR data and systems.

- At least 7 years of experience in a management position as part of a Shared Services organization.

- Experience applying financial acumen to business and business modelling situations.

- Experience implementing and managing HR portals.

- Lean Six Sigma / Process improvement experience.

- Experience working in organizations with ERP technologies (e.g., SAP, etc.).

- Experience working in any environment that uses/leverages Service Management principles (including SLAs and OLA performance reporting, charge back models, customer agreements, service governance, etc.).

- Experience in diagnosing, isolating, and resolving complex issues and recommending and implementing strategies to resolve problems.

- Experience evaluating information to determine compliance with standards, laws, and regulations.

- Experience developing strategic initiatives which align with business goals and budget.

- Experience presenting and reporting on project plans and cost benefit analyses to appropriate stakeholders, executives and senior management.

- Experience developing and delivering presentations to various audience levels within an organization.

- At least 15 years of experience planning, developing, and managing departmental expense and capital budgets.

- At least 15 years of experience directly managing people, including developing, motivating, and directing people as they work.
