Job Description For Head - Admissions And Communications
DESIGNATION : HEAD - ADMISSIONS & COMMUNICATIONS
REPORT TO : Operationally to School Director and Functionally to Corporate Directors
APPRAISED JOINTLY BY : Reporting Officers
STUDENT NUMBERS :
- Achieving enrolment targets each year across various grades, categories and demographics.
Marketing And Communication :
External :
- Helping to organize and drive event led communication programmes such as :
- Participation in School/ Education Fairs
- Roadshows targeting our TA
Open Days - at school drawing participation from various clubs, associations, organizations, societies, corporations etc.
- Establishing relationships with organizations located in catchment area which could be good for enrolments.
- Building relationships with Corporates, Clubs, Forums, Business/ Social organizations, Residential Societies, etc.
- Regular update to support the corporate team for the upkeep of school website
- Help and augment media interactions and familiarization trips
Internal :
- Alumni Program: Help and assist in developing and driving an effective and objective alumni program
- Maintain relationship with parents on an ongoing basis
- Facilitate and organize parents forums as a relationship marketing initiative
- Assist the school director for any communication that is sent out on behalf of school both internal to employees or external to parents
- Co-ordinate with corporate marketing for website updation, school journals, Newsletters and Rewind.
- Maintaining pleasing presentation and atmosphere of school reception with regular updationof Information Bulletin boards etc;
- Timely issuance of ID and Exeat cards;
- Timely updation of Student Insurances;
- Up to date Record keeping and regular updation of student records, accurate household contacts etc.;
- Prompt circulation of information regarding status changes etc to all concerned departments;
- Assisting accounts department in collection and recovery of overdue fee/charges;
- Ensuring that school policies are well communicated to and understood by parents;
- Keeping abreast through participation and otherwise of various school happenings, activities and events
- Working actively towards counseling potential withdrawal cases and ensuring a low annual withdrawal percentage;
Ensuring timely fee collection through various measures, including but not limited to the following :
- Ensuring correct billing of all students at all times and preventing any revenue leakage;
- Keeping track of billing and payment cycles and maintaining close follow-up with parents;
- Pro-actively resolving billing related queries of parents pending with accounts, if any;
- Blocking attendance of defaulting students as per school policy;
- Ensuring 'Zero' flexibility in fee dues exceeding security deposit;
OTHER REVENUE STREAMS :
- Sponsorships and Corporate sales: Sponsorships for various school events, Selling usage of school facilities during holidays
DATABASE AND RECORDS MAINTENANCE :
- Maintaining month wise updated data of prospective parents/ enquiries - regular communication and follow up
- Maintaining lists of deferred admissions/ future years admissions - regular communication and follow up
- Any other task/ assignment or work assigned by the School Director and Management.
