Position Title: Executive Assistant to CMD

Job Description:
- The Executive Assistant will work directly with CMD and will be responsible for supporting the planning, administration, communication, reporting and following up the needs of the CMD, undertaking a variety of tasks to support his vision and strategy.
- Maintain and develop systems, procedures and records in line with Organization's policy and objectives.
- Ensure necessary records are accurately prepared and maintained in a way that can be accessible easily.
- Perform in line with the framework of Organization's plan as directed by the Chairman and Managing Director.
- Preparation and presentation of reports, proposals, budgets and related activities as well as develop contact and relationship with external stakeholders.
- Preparation of documentation and reports for CMD to enable key decision making.
- To carry out analysis and comparison of reports/data received from internal stakeholders to apprise status to the management.
- Coordinating and acting as interface between internal functions of the Organization and Management as well as following up appropriately on internal and external commitments.
- Manage emails, information, and other communications; respond to such communications - highlight and prioritise which needs immediate attention.
- Plan and maintain calendar and recurring tasks, arrange appointments, organise and set agendas and action points for all meetings.
- Act as 'follow-up Manager' across the Senior Leadership Team to ensure that a wide range of agreed actions are being executed.
- Drafting minutes of meetings, notes, emails, presentations and reports; circulate and file information effectively.
- Book transport and accommodation as and when required.
- Attend Senior Leadership Team review meetings and other strategic meetings to take notes and action points.
- Collaborate effectively with internally and externally with clients or stakeholders.
- Scheduling appointments, maintaining an events calendar and sending reminders.

- Ability to take and record accurate notes/minutes in complex meetings.
