Job Description : Executive Assistant

Preference : Candidates with prior relevant experience with MBA.

Location : Mumbai

Job Description :

- You must be able to multi-task in order to handle a multitude of short and long-term projects; with at times, competing and conflicting levels of priority.

- You are required to function as liaison among the office of the Director, his Executive Committee, Business Unit Heads, etc.

Primary Responsibilities :

- Co-ordinate with various outsourced agencies like CA, PR Team, Lawyers, Consultants, IP team etc

- Need to support various Administrative requirements like follow ups within team and outside agencies, preparing & processing various documentations.

- Need to arrange, conduct & attend various meeting with new leads like banks, service providers, consultants, etc.

- Should be involved into new projects like office shift, etc

- Should perform various Online & Offline researches based on Business trends, Competitors, Market.

- Responsible for handling all travel arrangements (domestic and international) including hotel accommodations, airline reservations, rental cars, off-site meeting venues.

- Prepare various materials when requested, using PowerPoint, Word, and Excel for various Business meetings.

- Preparing Minutes of Meetings

- Generating various reports by co-coordinating with various teams like Data Science, Marketing, Supply Chain, Investors, etc.

- Maintain calendars - arrange, coordinate and prioritize complex scheduling and logistics.

- Compose and type agendas and correspondence for special events, various meetings, and development activities.

- Arrange special meeting facilities (e.g. food, PC projector, etc.); send meeting confirmation emails; prepare and distribute meeting materials.

- Prepare expense reports.

- Handle special projects for the company.

- Manage internal communications.

Desired Skills & Qualities :

- Your primary skill will be a superb organizational ability.

- Must be able to communicate articulately, clearly and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter (sensitivity and timing).

- Additionally, you must be able to maintain the highest level of professionalism when speaking with our clients and other delegates on behalf of the Organization, and provide him with any backup on the inquiry whenever possible prior to delivering the message to him.

- The ideal candidate must have the ability to operate independently and collaboratively and have a strong, dynamic working style and collaborator and a team player.

- The ideal candidate must have the ability to think strategically, see the - big picture,- recognizing impact of decisions on the operation and company and pay attention to details.
