Senior Payroll Specialist - School
Job Description:
- The Payroll Administrator performs professional and administrative duties related to the payroll operations of the Finance Department.
- This role administers and coordinates payroll processing, the payroll database, and related reports as necessary for employees and retirees.
- This role ensures organizational efficiency in the application of prescribed policies, procedures, and methods. This position performs all other related work as required.
Essential Functions:
- Process payroll in an accurate and timely manner. Receives, confirms, and processes all reported hours for employees. Process weekly payroll for all Town Departments.
- Distribute payroll checks, weekly job costing and worksheets to all departments.
- Monitor payroll job costing accounts with Accounting Department expenditure reports.
- Process weekly warrants to Accounting Department via Vadar System.
- Perform weekly payroll audit with Town Accountant to maintain accuracy of employee wages on a weekly basis.
- Maintain and track employee deductions including child support, annual union dues.
- Maintain weekly DOR payments and maintain monthly MTRS uploads and payments for Mass Teachers Retirement System.
- Process and distribute all weekly accounts payable checks, mail checks through Pitney Bowes system and bring to post office.
- Solve daily payroll issues for employees via telephone or email when needed.
- Process monthly Town Retirement reports and uploads for town Retirement Dept. and County Retirement reports.
- Process weekly and monthly reports and system uploads for Mass Teachers Retirement System for School Dept., work with school Admin to modify coding and salaries as needed on weekly basis.
- Provide census and payroll reports upon request.
- Maintain and upload recon files for Unibank for payroll process.
- Maintain and fax Nationwide COBRA accounts and new hire paperwork. Process nationwide annuity forms for employees upon request and contact company to process annuity payments to employees.
- Performs similar or related work as required
Knowledge, Skills, and Abilities:
- Knowledge of word processing and spreadsheets. Working knowledge of commonly used payroll, accounting, and general knowledge of human resources concepts, practices and procedures. Knowledge of payroll and accounting software.
- Ability to maintain effective working relationships with others. Must be accurate, thorough and well organized in working with detailed information; takes initiative to assure timely compliance with deadlines and the resolution of pending matters.
- Ability to maintain tact and discretion in challenging situations and interactions with employees.
- Ability to maintain confidential information and to respond quickly to unexpected project with short deadlines or changes in important procedures.
- Strong organizational and interpersonal skills. Strong communication skills; demonstrates a highly proficient use of computers, office automation, and other department specific computer applications, skill in all the above listed technologies, tools and equipment.
Required Experience:
- Associate degree or related field, 5+ years of Payroll experience; or any equivalent combination of education and experience.
