Major Responsibilities:

People Management:

- Manage and coach team

- Develop and sustain a high-quality well motivated team

- Ensure high staff morale, trust and work ethics

- Build and maintain an environment that supports teamwork, co-operation and performance excellence within team

- Mentor and enable Training & Development of team members

Client/Stakeholder Management:

- Proactively engage stakeholders to ensure that on site client's expectations are met

- Build and develop effective client / stakeholder relationships across multiple levels of the organization

- On-site key point of contact for Facilities in the client's premises

Procurement & Vendor Management:

- Ensure vendors are well-managed, delivering services on time and within budget

- Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as Compass best practice

Contracts Management:

- Plan and manage all contracts to ensure that they are professionally delivered at the right costs

- Ensure expiry of contracts are well-monitored and re-connect with clients for renewals

- Ensure contracts are continually assessed to deliver best value to the client

Finance Management:

- Actively work to ensure that the site's & branch financial operations are meeting or exceeding targets and control requirements including the Compass Code of Ethics

- Ensure financial processes are followed at all times

Health & Safety Management:

- Ensure the provision of a safe working environment

- Ensure compliance with statutory regulations on fire, health and safety standards

Operations Management:

- Recommend continuous quality improvement practices and implement Industry Best Practice operations

- Implement building procedures and performance measures and ensure they are maintained at all times

- Ensure all Critical Environment (CEM) requirements are met

- Review existing operations regularly to reduce costs and improve operational standards

- 24/7 emergency call support and site attendance is required

Risk Management:

- Ensure a property risk management program including audits is implemented and maintained

- Ensure disaster recovering and business continuity plans are implemented and maintained

- Ensure escalation procedures and incident reporting procedures are implemented and in place

- Assist in the development of guidelines and strategies to ensure compliance with Compass- s

- Achieve Key Performance Indicators and Service Level Agreement targets

Operations Reporting:

- Prepare monthly, quarterly and year to date operational reporting services that summarizes the operational and financial performance results.

- Prepare ad-hoc reporting as requested by Compass Leadership team

- Weekly/Monthly summary of incident reports and status of all action items where abnormal incidents have resulted in downtime or impacted /threatened Client Management or facilities availability.

- Preventive, predictive and corrective maintenance ( PM ) program reporting shall include

a) No :of PM activities completed as planned

b) No :of non-critical PM activities completed as planned

c) No: of PM activities deferred, reasons why deferred.

- Monthly/Quarterly reports on informal feedback ( i.e. tent cards, e-mails response, etc)

- Quarterly reports on cleaning, landscaping, R&M, HVAC and other areas.

- Action plan and its status implemented to enhance satisfaction results.

- MVR, MMR & QBR reviews with Client representatives.

- Conduct periodic reviews with all subcontractors / Subordinates/team managed and include outcomes of such reviews in the quarterly business reviews and reports.

- Monthly/Quarterly scorecard for sub-contractors and managed contractors where applicable, especially for critical and major services. Share the scores through quarterly reports.

- Documentation, Procedures and Manuals

- Maintain and update all documents which are related to the branch as deigned by COE (Center of Excellence) use dedicated repository server to store all shared documents

- Playbook and procedures to be prepared for assigned properties and distributed to the appropriate personnel based on the need to receive and use the information.

- Maintain an accurate local as documents related to Finance, HR and operations ensure all equipment maintenance requirements are entered in the local preventive maintenance system

Client information to be provided electronically and address items such as:

- Emergency contacts

- Fire & life safety systems

- Evacuation procedures ( including drills & schedules)

- Means to access services ( i.e. HVAC,lighting etc)

- Ensure all assigned building controls /energy management technologies are operating in a manner to avoid wasted energy.

- Provide direction to perform trend analysis within Client facility or properties.

- Provide utility data reports, seek out inefficiencies in the building operating systems and offer solutions to remedy findings.

- Ensure all life safety set ups including fire detection and fighting systems are working at all times and escalate any gaps or risks in the system functionality or compliance risks to Clients immediately. MITIGATE such gaps and risks with highest priority.

- HR reporting:

a) Manage the HR team indirectly

b) Attrition reports

c) Hiring management

The above is the framework on the JD and details such as Transition of new sites, assisting Business development team for new business /costing, initiating new RFP's, SLA management are some of them which are needed for this position to work with.

- 5 years of technical (and supervisory) experience in building engineering or equivalent preferred

Technical Competence:

- Solid background in engineering, plant machinery, BMS, systems and equipment knowledge

- Demonstrated experience with client reporting and preparation of reports

- Conduct audits to ensure that all safety procedures, including disaster recovery and business continuity plan and escalation procedures are in place and maintained.

- Ensure compliance with statutory regulations on fire, health and safety standards

- Ensure compliance with Compass programs and audit programs and participate in CPE community initiatives

- Adhere to Compass's business conduct by ensuring compliance with the firm's guidelines, procedures and strategies
