A. Vendor & Inventory Management -

1. Identification of cost-effective partners vendors/suppliers for procurement, selection & engagement with an aim of reducing cost while improving quality & reliability and maintaining vendor approach for emergency backup

2. Vendor registrations, purchase orders and delivery of material as per committed timelines

3. Procurement to pay end-to-end policy adherence and tracking

4. Support in process improvements and modifications to provide employee satisfaction

5. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints, control inventory & track usage.

B. Office & Housekeeping Management -

1. Oversee the day-to-day operations of the office and ensure it runs smoothly & efficiently.

2. Oversee facilities services, maintenance activities and tradespersons (e.g electricians & Housekeeping etc.)

3. Organize and supervise other office activities (cleanliness, recycling, renovations, event planning etc.)

4. Ensuring optimal efficiency, supervise the administrative team by providing guidance, training & support to perform their duties effectively

C. Expats Management -

1. End-to-end support to Expats & travelers (including ticketing, visa, hotel stay, car rentals, FRRO Related activities etc. )

2. Direct activities related to routing and tracking office cars - fuel, maintenance etc.

D. Compliances & Budget Management -

1. Ensure compliance with all relevant laws, regulations and company policies related to administrative functions

2. Submit and reconcile expense and other administrative reports

E. Administration & Facility Management -

1. Managing real-time space management for seat allocation to ensure a comfortable & productive environment

2. Facilitating movement and space utilization

3. Cafeteria and office maintenance

4. Managing employee directories

5. Monitor costs and expenses to assist in budget preparation, MIS preparation
