POSITION SUMMARY This role is responsible for coordinating the efficient running of a professional services office and leading the business services resources within that office. JOB RESPONSIBILITIES - As an Office Manager - This role is responsible for Mumbai Office Operations and Facilities Management. - Handling end-to-end facilities, interiors and infrastructure of the office and liaising with all contractors for the same. Orchestrating across different departments for maintenance of all equipment in the organization and enhancing the overall efficiency. - Supervise & suggest enhancements for Office Maintenance & Cafeteria Management - Provide support in preparation of, and take accountability for all administration budgets. - Provide support in developing and implementing a comprehensive administration manual with all policies, processes and procedures - Liaising with government and regulatory bodies like Electricity Boards, Local Government Agencies for obtaining necessary sanctions / approvals and ensuring smooth working condition in premises. - Develop strong relationships with key stakeholders to ensure the business needs are managed effectively. Manage and proactively monitor services to ensure delivery is at optimal levels Office Management: Budgeting, capacity planning and cost control of all office services. - Responsible for office layout and space allocation, build-outs and repairs/ maintenance. - Negotiate and build relationships with key suppliers to ensure the best price, quality and service - hotels, catering, corporate stationery, car hire, travel agencies, airlines etc. - Implement the office security and employee safety plan, including disaster management/emergency services. Ensure regular training is organized, and timely updates are made to the emergency plan. - Liaison with property owner on all day-to-day requirements. - Lead, develop and train Mumbai office admin team. JOB REQUIREMENTS - 10+ years of relevant experience - Minimum Graduate (administrative/commercial degree), business focus is a plus - Proficient in English - Experience from professional services international environment - Excellent communication skills, able to engage Partner Group as an advisor and sell ideas and solutions, with the ability to communicate across all levels in the organization KEY COMPETENCIES - Strong organizational skills encompassing affinity with IT supporting tools - Exceptional PowerPoint and Excel skills - Good knowledge of other Microsoft Office programs - Ability to combine hands-on attitude in operational topics and good analytical skills - Proven leadership and people management skills, ability to motivate and develop people - Strong negotiation skills - Proactive in identifying opportunities for change and driving such change through robust implementation. - Good business judgment, ability to see potential second order effects - Ability to respond to sudden shifts in priorities and direction - Ability to manage and respect budget demonstrating good financial management skills - Ability to excel in a large international company culture while functioning within a smaller local team - Ability to maintain highest levels of internal and external confidentiality & integrity WORK ENVIRONMENT - Must be able to perform successfully in a fast-paced, intellectually intense, service-oriented environment and to interpret rules and guidelines flexibly to enhance the business and in keeping with BCG's values and culture. - Experience working successfully within a complex matrix structured organization is essential. - It is necessary to have the ability to understand and manage complex reporting relationships and incorporate multiple cultures. - Ability to work remotely and autonomously.
