Role:
This is a leadership role requiring strong functional proficiency, global stakeholder management and people management skills. The role involves the need for the incumbent to manage the end-to-end aspects of Global HR Operations service delivery on all matters related to, Payroll processing, Benefits Management HRIS (global & local systems), Internal & External HR Audits, Statutory and Labour Compliance, Operations Process/ Policy Administration and Global Mobility. The incumbent will be supported by a team of 6 experienced professionals in his team. While some of this could simple mean managing the ongoing services in a timely, cost effective and defect-free manner, some of the others may involve detailed deliberation, conceptualization, analysis, project planning, implementation, and ongoing performance review.
Responsibility:
Payroll:
- Work with Local and Global payroll vendors to ensure 100% accuracy, timely execution and adherence to the Local Labour Laws and company policy & procedures. This includes all payroll related reporting as required including and not limited to salary registers/summaries, reconciliations of costs/ provisions/trial balances and statutory reporting.
- Work cross-functionally with corporate finance in ensuring organization's compliance with payroll tax reporting and withholding responsibilities
- Work with the payroll vendor in ensuring that employee communication and escalations are managed responsibly
- Review the monthly performance of the vendor dashboards and provide constructive feedback
- Encourage constant employee communication channels to build awareness amongst employees about investments, payroll and reimbursement process etc. using helpdesk, formal & informal meetings etc.
- Delivers People Operations projects within the constraints of scope, time and cost to agreed levels of quality, within the organization's project management framework.
HRIS:
- Lead current HRIS implementation initiatives
- Ensure timely and accurate employee data on HRIS and involvement with the vendors and global team to resolve technical issues
- Ensure the organization charts are maintained in a timely and accurately way
- Conduct regular informal HRIS audits and provide constructive feedback to the team
- Manager the related communication to ensure the awareness and acceptance of the HRIS system is consistent across levels.
- Ensure People Data across HRIS systems is updated and accurately maintained
- Create systems for tracking of changing and maintaining employee data for emerging geographies
- Publish the required People analytics ( Attrition, DEI, and others from time to time )
Paperwork and Background Verifications:
- Ensure all the employee files are complete in an accurate and timely manner.
- Ensure onboarding and offboarding of employees is done in a smooth way.
- Conduct regular informal audits and provide constructive feedback to the team.
- Ensure to publish the required reports
Statutory & Labour Compliance
- 100 % compliance of the monthly filing of mandatory returns (PF/ EDLI / ESI / LWF / Prof Tax / Statutory Bonus / Gratuity / Leave Encashment / Employment Exchange / Minimum Wages, etc.) i.e., Maintain and close all filings pertaining to labour department requirements
- Working closely with other Country HR Leaders and payroll vendors to ensure the international payroll compliances have a 100 % adherence.
- Point of contact for statutory compliance, responsible for maintenance all statutory files for the India office ensuring accurate information & filing in accordance with Local labour laws and company policy / procedures
- Work closely with compliance vendor, payroll vendor and the internal legal team in proactively identifying exposure areas from a compliance perspective and work towards implementing a sustainable solution
- Build relations with local authorities where necessary, maintain the forms folder ensuring up to date forms are always available and added to the intranet as and when required/needed
- Establish best practice compliance processes for sharing and communicating internally and to the organization. Update management of any major changes in terms of labour laws and statutory compliance that could have a bearing at the legal entity level
Audits:
- Will be the single point of contact for all internal and external audits for People Operations
- Ensure 100 % closure of all audits items as per the timelines given by Auditors (Internal and External.)
- Educate stakeholders on the importance of compliance around Payroll plus allied activities and work with them in identifying business solutions that cater to their needs without compromising on the legal requirements
- Maintain and close all open audit items within the agreed timeframe.
Process/ Policy Administration:
- Formulate People Operations Process and Policies
- Administer and audit compliance on Policies in partnership with HR Leaders.
- Periodic review and constant communication of amendments to all employees on process changes.
- Work with members of People and Culture team in aligning and implementing the necessary policy / process changes.
Benefits Administration
- Manage benefit programs for India and other geographies.
- Evaluate different vendors in the local market from time to time to identify and introduce value-added services for employees.
- Network with vendors to know the market trends in employee health and wellness.
- Negotiate with vendors during renewals and ensure service enhancements.
- Work with the vendor to ensure employee communication and escalations are managed responsibly and in a timely manner
Global Mobility
- Co-ordinate with the Business Leaders to manage international transfers.
- Manage payroll for expats and work with our preferred vendors in ensuring smooth functioning of the employee's relocation, settling down, payroll, taxation, repatriation
- Engage with expats to understand issues and concerns and proactively engage with them in resolving for the same, in partnership with the concerned People and Culture teams
- Continually engage with the local vendors to explore service improvement and cost optimization
Vendor Management
- Maintain good rapport with all local and international vendors under the purview of People Operations.
- Proactively identify other vendors in the market who may have better services at more competitive prices.
- Negotiate better rates and terms with the vendors at the time of contracting and contract renewal using market knowledge, domain expertise and relationship management.
- Proactively work with the vendors in managing escalations from internal stakeholders.
- Responsible for supporting decisions pertaining to change in vendors where necessary.
Experience and Skills:
- Minimum of 15 years of experience in all the areas of People Operations, including the ones detailed above.
- Should have exposure of handling HR, Payroll, and allied activities for global locations.
- Should be comfortable in influencing senior business stakeholders, both locally and globally.
- Should have prior people management experience.
- Ability to prioritize and manage multiple agenda concurrently
