AVP/ GM - Facility Management

- Responsible for the management of facility services and processes that support the core business of an organization. It involves strategic planning and maintenance including, managing third-party staff suppliers, and supporting staff, property strategy design and planning, building and janitorial services, health and safety, security, space management, utilities, and communication infrastructure.

- Managing the entire gamut of Maintenance and Facility Management with procurement of operational and maintenance inventory

- Managing the contract of supplier and third-party services


- Overseeing facilities services, maintenance activities and tradespersons (e.g., electricians, vendors, etc.)


- Preparing and modifying documents including floor plan, reports, drafts, and emails

- Organizing and supervise other office activities (recycling, renovations, event planning, etc.)

- Assessing staff performance and provide coaching and guidance to ensure maximum efficiency

- Monitoring costs and expenses to assist in budget preparation

- Ensuring operations adhere to company's policies and regulations

- Planning and coordinating administrative procedures and systems and devising ways to streamline processes

- Recruiting and training personnel and allocate responsibilities and office space

- Managing entire Electrical distribution system of CCTV, Fire extinguisher, sprinkler system and Safety equipment, Inverters, Plumbing, etc.

- Ensuring the smooth and adequate flow of information within the company to facilitate other business operations

- Monitoring inventory of office supplies and the purchasing of new material with attention to budgetary constraints

- Tracking Budget Expenses, Staffing, Quality Management, Managing Processes, Organization, Coaching, Communication Processes, Disciplining Employees, Motivating Others, Promoting Process Improvement, Reporting Skills

- Keeping abreast with all organizational changes and business developments

- Maintaining the duty roster and attendance for the housekeeping, office boys, and other admin staff

- Assisting in resolving any administrative problems

- Following up on priority tickets and ensure delivery on time Prerequisites

- Good research skills and attention to detail

- Ability to juggle multiple projects with superb accuracy

- Exceptional service skills, including government/municipality work, over the phone and in-person support internal employees and departments

- PC skills

- Microsoft Outlook, Word, Excel, PowerPoint

- Leadership Ability

Qualification And Experience:

i. Engineer or equivalent combination of education and experience of 20+ in the Facility Management

ii. Thorough knowledge of operations, techniques and procedures involved in the management of large, complex facilities

iii. Demonstrated knowledge of business management principles including strategic planning, resource allocation, talent management, leadership techniques, production methods, and coordination of people and resources.

iv. Extensive knowledge of mechanical/electrical engineering principles and practices required in the design, construction, and mechanical maintenance of a large facility.

v. Extensive knowledge of, and demonstrated success in, implementing and overseeing computerized maintenance and management programs and/or computer aided facility management programs, in particular for HVAC systems, electrical systems and building automation systems).

vi. Knowledge of modern safety and security procedures and methods applicable to high-traffic buildings accessible to the public.

vii. Extensive knowledge of modern computerized energy management system design and operation.

viii. Extensive knowledge of current best practices in heating and air conditioning system operation and maintenance Demonstrated success in managing large procurements

ix. Thorough knowledge of occupational hazards and safety precautions for general industry.

x. Demonstrated ability to project calm, decisive leadership at all times while carrying out assigned duties.

xi. Ability to recognize emergency situations and direct prompt and effective corrective measures and oversee all response and recovery operations during emergencies.

xii. Ability to express ideas and communicate clearly and effectively, both orally and in writing.

xiii. Excellent interpersonal, customer service and problem solving skills in dealing with guests, clients and external organizations.

xiv. Proficient in the use of basic office automation software (i.e., email, word processing, etc.).
