Purpose of the job:
Responsible for Facility, security, office infrastructure, employee transport, housekeeping, compliance, space utilization, and general administration.
Essential functions and responsibilities:
- Managing administration function for the location/site including facility management, general office administration, and vendor management.
- Working closely with Facility and Admin Manager in understanding the needs of various departments, formulating strategic interventions, and ensuring continuous improvement as part of the change management plan.
- Ensuring Compliance with required Facility & Office statutory requirements, handling and managing related Licenses & Certifications
- Managing admin contracts for vendors & their staff like Housekeeping, Security, transport and cafeteria staff.
- Monitoring & controlling administration capex/opex expenditure and maintaining cost efficiency in admin assets inventory as per budget guidelines.
- Liaising with consultants & suppliers, site and resource management
- Developing and implementing sourcing initiatives to create a competitive edge over the market and ensure cost savings
- Closing sustainable long-term partnerships with vendors & suppliers; monitoring performance to meet service, cost, delivery, and quality norms; negotiating on pricing, quality improvement rate, timely delivery, and credit terms
- Management of corporate events & functions
- Partnering with safety & security advisory service providers to ensure safety and security at the workplace
- Ensuring ready availability of infrastructure (IT & non-IT, office furniture, LAN/WAN connection) for employees.
- Liaoning with local authorities like Police, TMC etc.
- Coordination with Services Partners and stakeholders.
- Ensure that FM quality of the services is always maintained at the highest levels.
- Space Management / Follow Covid Protocols.
- Assist IT Asset Movement.
- Timely Submissions of Facility invoices.
- Attend Employee Requests related to Workstations, movement etc.
- Responsible of submission of weekly / Monthly / Quarterly and Yearly reports on time.
- Reports unsafe/abnormal conditions and unusual occurrences to the concerned teams.
- Ensure Legal & statutory compliance is implemented at the site and a 100% compliance score is achieved.
- Ensure all statutory compliances are met and the compliance records are updated.
- Schedule regular feedback meetings with vendors to ensure all operational issues are resolved.
