Project Management Office (PMO) Specialist - Healthcare Staffing/Resourcing Projects Position Overview: - We are seeking an experienced Project Management Office (PMO) Specialist to join our organization and oversee the successful execution of healthcare resourcing and staffing projects. - As the PMO Lead, you will be responsible for managing the project portfolio, ensuring project delivery within scope, time, and budget constraints. - Your expertise in project management/tracking tools, combined with an understanding of the healthcare industry and staffing processes, will be crucial in driving project success within timelines and optimizing resources allocation. Responsibilities: 1. Project Planning and Execution: - Collaborate with stakeholders to define project objectives, scope, deliverables, schedules and success criteria. - Develop & align comprehensive project plans, including timelines, milestones, and resources allocation. - Support project teams throughout the project lifecycle, ensuring adherence to project management best practices. - Monitor project progress, identify potential risks, and develop mitigation strategies to ensure timely delivery. - Demonstrate an understanding of P & L, SLA's monitoring. 2. Resource Management: - Coordinate with functional managers and staffing teams to allocate appropriate resources for project execution. - Optimize resource allocation, considering project priorities, skill sets, and availability. - Monitor resource utilization and identify potential bottlenecks or overutilization scenarios. - Manage coordination between cross-functional teams. - Implement strategies to balance resource allocation across multiple projects. 3. Stakeholder Communication and Reporting: - Serve as the primary point of contact for project stakeholders, providing regular updates on project status, risks, and issues. - Establish and assign tasks from project schedules, own the periodic cascade of project management trackers to all stakeholders. - Prepare and present comprehensive project reports, including key performance indicators (KPIs), to executive management and stakeholders. - Facilitate effective communication channels among project teams, stakeholders, and executive management. - Identify bottlenecks and propose trade-offs by prioritizing tasks/responsibilities to optimize team performance. 4. Process Improvement: - Identify areas for process improvement within the PMO and project management practices. - Develop and implement standardized project management tools, and templates. - Promote a culture of continuous improvement, driving efficiency and effectiveness in project delivery. 5. Risk and Issue Management: - Proactively identify project risks and issues, assess their potential impact, and develop appropriate mitigation plans. - Establish a robust risk and issue management framework, ensuring risks are tracked, monitored, and addressed throughout the project lifecycle. - Facilitate risk and issue escalation and resolution, collaborating with project teams and stakeholders. Qualifications: - Bachelor's/PG degree in a relevant field (e.g., Business Administration, Project Management). - Proven experience (3 to 4 years) as PMO Specialist, preferably in healthcare resourcing or staffing projects. - Strong understanding of project management tools/techniques and ability to tailor approaches to project needs. Certification/Course in Project Management is desirable. - Excellent knowledge of the healthcare industry, including resourcing, staffing, and regulatory considerations. - Proficient in project management tools and collaboration platforms. - Exceptional leadership and interpersonal skills, with the ability to influence and negotiate with stakeholders at all levels. - Strong analytical and problem-solving abilities, with a focus on delivering results. - Excellent verbal and written communication skills, including report preparation and presentation.
