Job Title: AGM - Administration
Reports To: Head of Department (HOD)
Location: Mumbai
Position Overview:
- The AGM - Administration is responsible for overseeing facility management, security, contract management, and procurement operations.
- This role ensures the smooth operation of administrative systems, enhances facility management practices, and supports overall operational efficiency.
Key Responsibilities:
Facilities Operations:
- Develop and implement administrative procedures and systems to optimize processes.
- Establish and maintain a comprehensive facility and security management program.
- Oversee the Preventive and Planned Maintenance Program to reduce costs and minimize the risk of plant failures.
- Manage security, infrastructure, administrative activities, and branch database management across all sites.
- Introduce continuous quality improvement practices regionally.
- Coordinate Churn and relocation activities effectively.
- Ensure compliance with all Critical Environment Management (CEM) requirements.
- Ensure timely completion of Reactive Maintenance.
- Handle financial management tasks accurately and within deadlines.
- Establish and enforce escalation procedures for incident and problem reporting.
- Conduct risk assessments, develop method statements, and ensure closure of actions.
- Provide administrative support coordination with internal stakeholders.
- Manage vendor relationships effectively.
Cost Savings Initiatives:
- Develop and implement strategies that drive cost savings and enhance service quality.
Customer Service / Client Relations:
- Record and act on feedback from client sessions to meet user satisfaction.
- Cultivate and manage client and business unit relationships to achieve service level expectations.
- Lead by example, fostering a high level of client satisfaction within the team.
Leadership / Staff Management:
- Promote teamwork, cooperation, and performance excellence within the team.
- Serve as a manager and mentor, ensuring high staff morale, trust, and strong work ethics.
Knowledge, Skills, and Competencies:
- Proficient in budget management and financial analysis.
- Demonstrated initiative and problem-solving abilities.
- Excellent written and verbal communication skills.
- Strong analytical capabilities.
- Team-oriented with the ability to collaborate effectively with various stakeholders.
- Strong interpersonal skills for effective communication.
- Knowledgeable in statutory requirements and Environmental Management Systems.
Requirements:
- Graduate/PG with 15-20 years of experience in facilities administration and security.
- Proven aptitude for fostering positive relationships.
- Experience with Pan India travel
